Labib Funk + Associates (LFA) is Headquartered in El Segundo, with offices in Glendale and Irvine, and has effectively produced and managed the structural design of projects from concept design through construction since 2003. LFA focuses on structural, shoring, civil, and EBM engineering design and consulting and has experience in the design of new structures, renovation of existing structures, and excavation shoring. We work closely with clients during the development, design, and construction phases to provide a high quality of service. By offering vertically integrated Structural, Civil, and Shoring Engineering Design services, LFA can simplify the design and coordination process, providing services efficiently for any one discipline, or all three.


Position Summary

The Office Manager is responsible for overseeing the daily administrative and operational functions of a structural engineering office. This role ensures efficient office operations, supports engineering staff, manages client communications, and maintains organizational systems critical to project delivery and business performance.


Key Responsibilities

  • Manage incoming calls, emails, and correspondence.
  • Manage day-to-day office operations, including supplies, equipment, and vendor relationships.
  • Maintain organized filing systems for project documents, contracts, and records.
  • Oversee office policies and procedures to ensure efficiency and compliance.
  • Provide administrative support to engineers and project managers.
  • Assist with preparation of reports and technical documents.
  • Coordinate lunch and learns and open forums.
  • Coordinate contracts, invoices, and communications with external partners.
  • Manage office utility bills (i.e., review for accuracy and process payments).
  • Assist with invoicing, expense tracking, and basic bookkeeping.
  • Ensure compliance with company policies and industry regulations.
  • Help coordinate training, certifications, and licensing documentation.
  • Maintain office software systems (project management tools, document control systems).
  • Keep licensing renewals up to day for business and for principals.
  • Coordinate with IT support for hardware/software issues.
  • Ensure data organization and backup procedures are followed.
  • Help plan/coordinate office events such as company monthly BBQs, Summer Party, Holiday Party.


Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field
  • 3–5+ years of office management or administrative experience (A/E/C experience is a plus)
  • Strong organizational and multi-tasking skills
  • Proficiency in Microsoft Office Suite and project management tools
  • Excellent communication and interpersonal skills
  • Notary (or willing to obtain).

Full-Time In-Office / Salary: $70,000-$80,000
