Office Manager – PACE Program Eddy Senior Care (PACE) Locations: Schenectady & Latham, NY. Reports to Executive Director

Position Summary

Eddy Senior Care, a PACE program serving frail older adults, is seeking an experienced Office Manager to provide administrative leadership and operational oversight across our PACE centers in Schenectady and Latham. This role is responsible for assisting the Executive Director, supervising front office staff, coordinating key compliance and reporting activities, supporting quality and safety initiatives, and ensuring smooth daily administrative operations in a highly regulated healthcare environment.

Key Responsibilities:

Staff Leadership & Office Operations

• Supervise, train, schedule, and evaluate reception and administrative staff across both PACE sites

• Ensure appropriate staffing levels to meet participant, programmatic, and operational needs

• Serve as backup to reception and administrative staff as needed

• Orient new staff to office procedures, systems, and workflows

• Monitor and order office supplies; maintain efficient office operations Regulatory Compliance & Reporting

• Track, manage, and ensure timely follow up of complaints, grievances, appeals, service determination requests, and reductions in services

• Ensure participant notifications are delivered within required regulatory timeframes

• Coordinate internal and external appeals, including scheduling and communication

• Manage credentialing processes for the PACE provider network, including re credentialing, insurance tracking, and Medical Director review

• Assist with audits, surveys, and regulatory requests, including EPIC and provider network databases Quality, Safety & Performance Improvement

• Support Quality Assessment and Performance Improvement (QAPI), Infection Control, and Safety programs

• Collect, summarize, analyze, and report data for internal committees and leadership

• Track facility inspections, emergency preparedness drills, fire drills, and corrective actions

• Prepare reports for federal, state, and organizational stakeholders Policies, Committees & Administrative Support

• Manage PACE policies, including updates, annual reviews, and document control

• Prepare summaries of policy changes for committees and leadership review

• Provide administrative support for committees and meetings, including agendas, materials, and meeting minutes

• Coordinate monthly and ongoing management meetings, calendars, and on call schedules Leadership & Collaboration

• Serve as an active member of the Eddy Senior Care leadership team

• Collaborate with clinical, operational, and administrative leaders across the organization

• Act as a professional representative of Eddy Senior Care to participants, families, providers, and regulatory partners

• Promote staff engagement, teamwork, and continuous improvement

Qualifications Education & Skills

• Strong organizational, communication, and interpersonal skills

• Ability to work independently while managing multiple priorities

• Proficiency with Microsoft Office and healthcare information systems

• Professional, diplomatic demeanor when interacting with participants, families, and staff Experience

• 3–5 years of experience in healthcare, preferably in: or PACE, managed care, or long term care or Administrative tasks or Quality, compliance, or project management

• Prior supervisory experience preferred

* Bachelor’s in a related field preferred with 3 years experience or 5-7 years experience with an Associates degree.

Other Requirements

• Ability to work closely with frail, elderly, or disabled participants with sensitivity and compassion

Valid driver’s license and ability to travel between sites in varying weather conditions

• Ability to lift up to 15 pounds and perform typical office based physical activities

Pay range: $28.55-$41.40

Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location
