Position: Office & HR Administrator Location: Conshohocken, PA (Hybrid, 3 days onsite)


The client is an established growth-minded consulting firm that operates exclusively in the life science & healthcare industry.


Overview of Responsibilities

HR Administration

  • Manage onboarding logistics: IT equipment orders, workspace prep, IT vendor account setup, paperwork, handbook acknowledgment, payroll/expenses setup.
  • Manage offboarding logistics: IT account closure, equipment collection, paperwork, finance/benefits wrap-up.
  • Maintain employee records (addresses, PTO, benefits).
  • Coordinate employee visa applications with external providers.
  • Manage employee benefits packages (health insurance, pension/401k).
  • Distribute and track tax forms, benefit renewals/changes.


Office Management

  • Day-to-day management of office supplies and facilities (UK, US, CH)
  • Liaise with contractors and building management for maintenance, cleaning, small works.
  • Support coordination of office renovations or relocations.


Executive & General Administrative Support

  • Book travel for partners/senior team.
  • Support expense reporting (Tallie), chasing receipts and entries.
  • Provide ad hoc admin support to partners as needed (not positioned as an EA-heavy role).


IT & Systems (basic)

  • Liaise with IT vendors on routine setup/termination issues.
  • Manage subscription access (new starters, leavers, renewals).
  • Escalate Wi-Fi/system issues to IT vendors or internet providers.


Meeting Logistics

  • Provide logistical support for internal meetings (All Hands, management meetings, client visits).


Contracting – Clients & Subcontractors

  • Process subcontractor contracts (Docusign).
  • Run annual subcontractor due diligence checks (IT security, privacy, compliance surveys).
  • Maintain subcontractor MSA records.
  • Track client MSAs and coordinate with accounts leads to ensure they remain up to date.


Overview of Desired Skills & Experience

  • Experience working with senior level executives.
  • High degree of confidentiality.
  • Superior attention to detail.
  • Experience in managing travel arrangements.
  • Strong organizational and coordination skills.
  • Proficiency in MS Office.
  • Prior HR/office admin experience a plus but not required.
