We are currently partnering with one of our top clients—a distinguished organization based in the scenic Presidio—to find an organized, proactive, and welcoming Office Manager.
Our client’s workplace is fast-paced, high-touch, and deeply values first impressions. Because this role seamlessly bridges high-level administrative operations with elite client service, our client is highly prioritizing candidates who have cut their teeth as a Senior Receptionist, Front Desk Lead, or Guest Relations Specialist. If you have mastered the art of front-of-house hospitality and are ready to leverage that experience into a broader, operational management role, we want to talk to you.
Key Responsibilities
- Office Operations: Overseeing day-to-day office logistics, including vendor management (facilities, IT, cleaning), mail distribution, and inventory control for office and kitchen supplies.
- Front-of-House Excellence: Ensuring a pristine, welcoming environment. Managing incoming inquiries and greeting VIP clients, partners, and team members with a polished, professional demeanor.
- Administrative Support: Providing calendar management, expense tracking, and meeting coordination for the leadership team, as well as planning internal team events.
- Space Management: Maintaining organization and functionality across all conference rooms, common areas, and shared workstations.
- Onboarding Coordination: Acting as the primary point of contact for new hires, coordinating workstation setups, and introducing them to daily office workflows.
Ideal Candidate Profile
- The "Senior Receptionist" Foundation: 2–4 years of experience managing a busy, high-end front desk or reception area (corporate, boutique, or luxury hospitality experience is a massive plus). You know how to multi-task under pressure while maintaining a calm, sophisticated presence.
- Operational Readiness: A natural organizer who loves systems, checklists, and anticipating the needs of a busy office before they arise.
- Technical Proficiency: Strong skills in Google Workspace or MS Office 365, with an ability to quickly adapt to new office management software.
- Polished Communicator: Exceptional verbal and written communication skills, with the confidence to interact with executives, high-net-worth clients, and external vendors.
- Proactive Mindset: A resourceful problem-solver with a positive, "no task is too small" attitude.
