  • Organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety
  • Handle a wide range of administrative and executive support tasks independently with little or no supervision
  • Serve as the point of contact for maintenance, mailing, shipping, supplies, equipment, bills, and errands
  • Organize and schedule meetings and appointments
  • Partner with HR to maintain and update office policies as necessary
  • Coordinate office operations and procedures
  • Liaise with the IT department regarding office equipment
  • Manage relationships with vendors, service providers, and landlords, ensuring timely invoicing and payments
  • Negotiate contracts and pricing with office vendors, service providers, and lease agreements
  • Provide general support to visitors
  • Manage executives’ schedules, calendars, and appointments
  • Oversee office services by organizing operations, managing correspondence, maintaining filing systems, reviewing supply requisitions, and assigning clerical tasks
  • Develop and implement office policies, procedures, and standards to guide office operations
  • Assign and supervise clerical, administrative, and secretarial tasks among office staff
  • Prepare and manage the annual office budget, monitor expenditures, analyze variances, and implement corrective actions
  • Develop and promote standards that enhance operational procedures
  • Organize orientation and training for new staff members
  • Ensure filing systems are maintained and up to date
  • Maintain security, integrity, and confidentiality of data
  • Design and implement office policies and procedures
  • Analyze and monitor internal processes
  • Coordinate schedules, appointments, and bookings
  • Monitor and maintain office supply inventory
