About the Role

You’re the first face people see when they walk through our doors — and the steady presence that keeps our office running behind the scenes. As Office Assistant, working out of our Miami, FL office, you’ll anchor our front desk, create a welcoming environment for employees and visitors alike, and make sure the day-to-day details never fall through the cracks.


What You’ll Do

Front Desk & Guest Experience — Primary Responsibility

  • Serve as the first point of contact for all guests, employees, and vendors — greeting everyone with professionalism and warmth
  • Escort or direct guests to their destination, ensuring they are connected with the appropriate person or team upon arrival
  • Coordinate with internal teams to notify them of guest arrivals
  • Assist in managing incoming help desk inquiries

Office Operations & Support

  • Monitor, inventory, and replenish office snacks and kitchen supplies
  • Maintain and service coffee machines, ensuring they are clean, stocked, and functioning properly
  • Validate parking for guests and oversee issuing and tracking employee train passes and parking passes
  • Submit office support requests through the help desk when applicable
  • Coordinate and order designated executive lunch orders and cater Wednesday office lunches

Conference Room Support

  • Reset conference rooms between meetings to ensure they are clean, organized, and ready for use
  • Stock conference rooms with beverages and necessary supplies
  • Assist with basic meeting setup as needed

Administrative Support

  • Assist with general administrative tasks such as scheduling, checking and distributing mail, and office organization
  • Maintain a clean, organized, and presentable reception and common areas
  • Support office events and meetings as needed
  • Coordinate and set up workstations for new hires, ensuring equipment, supplies, and access are ready prior to their start date


Required Qualifications

  • Two or more years of experience in a receptionist, administrative, or customer-facing role
  • Exceptional interpersonal and verbal communication skills — able to engage warmly and professionally with anyone who walks through the door
  • Demonstrated strong organizational skills and attention to detail
  • Ability to manage competing priorities and stay composed in a fast-paced environment
  • Proficiency in Microsoft Office and Google Workspace
  • Comfortable using AI-powered tools and technology to streamline day-to-day tasks
  • Punctual, dependable, and discreet — this role is the face of the office and handles sensitive information daily


Preferred Qualifications

  • Experience in a professional services or corporate environment
  • Experience supporting office operations, events, or executive scheduling
  • Curiosity and willingness to adopt new technology as the office environment evolves
