About the Role
We are seeking an energetic, highly organized, proactive, and people-focused Office & Operations Coordinator to serve as a central hub for day-to-day office management, executive support, and employee experience.
This role is ideal for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and takes pride in creating a polished, efficient, and welcoming workplace.
You’ll support leadership, coordinate office operations, assist with onboarding and HR administration, and help ensure the office runs smoothly for employees, visitors, and partners.
In short: you’re the person who makes everything work.
KEY RESPONSIBILITIES
Office & Facilities Operations
- Serve as the first point of contact for visitors, vendors, and incoming deliveries
- Manage reception functions including phone, mail, shipping/receiving, and office communications
- Ensure common spaces (conference rooms, kitchens, reception area, and workrooms) are organized and well-stocked
- Coordinate vendor relationships for office supplies, catering, maintenance, parking, and security access
- Oversee office logistics including conference room scheduling and day-to-day facilities needs
Executive & Administrative Support
- Provide high-level calendar and scheduling support for senior leaders
- Coordinate meetings, interviews, and executive visits with professionalism and discretion
- Assist with travel arrangements, itineraries, and logistical planning for internal and external stakeholders
- Support special projects from planning through execution
People Ops & Onboarding Support
- Coordinate onboarding activities including orientation and workspace setup
- Support training programs, compliance initiatives, and employee engagement efforts
Marketing Support
- Handle network engagement, including press releases, event presence, follow-through, and ongoing connections
- Support with day-to-day channels including LinkedIn, website updates, SalesForce, and brand consistency
- Additional special projects as needed
Events & Culture
- Plan and execute employee events, company outings, and internal programs
- Coordinate catering and logistics for team meetings, celebrations, and firm-wide gatherings
- Help foster a welcoming, collaborative office culture and strong employee experience
QUALIFICATIONS
Required
- 2–5+ years of experience in office coordination, executive administration, and operations support
- Exceptional organizational skills with strong attention to detail
- Ability to manage competing priorities in a fast-paced environment
- Excellent written and verbal communication skills
- High level of professionalism and discretion when handling confidential matters
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
Preferred
- Bachelor’s degree (or equivalent professional experience)
- Experience supporting senior executives or leadership teams
- Experience with tools like SharePoint, Canva, or internal communication platforms
- Strong vendor management and event coordination background
