Membership Relations Coordinator

WingHaven Country Club, part of the Heritage Golf Group portfolio, is seeking a friendly, organized, and service-driven Membership Relations Coordinator to support member engagement and enhance the overall club experience. This role is responsible for assisting with membership communications, coordinating member events and programming, and serving as a welcoming point of contact for members and prospective members.
The ideal candidate is highly organized, personable, and passionate about delivering exceptional hospitality while helping build a strong and connected club community.
Position Summary
The Membership Relations Coordinator supports the membership department by assisting with member communications, event coordination, and day-to-day membership activities. This role works closely with the Membership Director and other club departments to ensure members feel welcomed, informed, and engaged.
Key Responsibilities:
Member Engagement & Service
- Serve as a friendly and professional point of contact for members and prospective members.
- Assist in welcoming new members and supporting the onboarding process.
- Help coordinate new member orientations and welcome initiatives.
- Respond to member inquiries and provide excellent customer service.
Events & Programming
- Assist with planning and coordinating member events, tournaments, and social activities.
- Support event promotion, registration tracking, and post-event follow-up.
- Collaborate with Food & Beverage, Golf, and other departments to ensure successful events.
Membership Administration
- Maintain membership records and assist with database updates.
- Support membership reporting and tracking.
- Assist with processing membership paperwork and documentation.
Communications & Marketing Support
- Help prepare and distribute member communications including newsletters, emails, and event promotions.
- Assist with updating club calendars and event information.
- Support social media or website updates related to membership activities.
Qualifications
- 1–3 years of experience in hospitality, membership services, event coordination, or customer service preferred
- Strong interpersonal and communication skills
- Highly organized with strong attention to detail
- Ability to manage multiple projects and deadlines
- Proficiency with Microsoft Office and basic database systems
- Experience in private clubs, hospitality, or event planning is a plus
Schedule
This position may require evening, weekend, and holiday availability based on club events and member activities.
