Salary and Benefits: This is a full-time, benefited Managerial 2 level position. Starting wage range: $61,745.00 - $69,797.00/annually, depending upon experience.

JOB SUMMARY:
The Manager, Facilities & Events schedules, coordinates, contracts for, and manages use of college facilities, conference services and associated equipment by campus and off-campus groups; arranges and oversees special events and ensures that all facilities usage is in accordance with college regulations and procedures.ESSENTIAL FUNCTIONS:– this position is exempt, i.e., is noteligible for compensatory or overtime pay provisions of the FLSA. Facilitate the coordination and planning of campus events and services by organizing, scheduling, and managing logistics for community and college-wide events and ensuring alignment with institutional policies and goals.
  • Schedule and organize services such as classrooms, athletic and residence hall facilities, and food and audiovisual services. This includes coordinating timely diverse service needs such as event staffing, room setups, and grounds maintenance.
  • Oversee event setup, execution, and tear-down, ensuring all aspects of the event go as planned.
  • Manage lease services and act as liaison between tenants and the College regarding, facility upgrades, maintenance, and repairs.
  • Manage check-out process for tenant Badge Pass ID cards, keys, phone services and other needs as necessary.
  • Update or draft new lease agreements as needed.
Foster collaborative partnerships by maintaining regular communication and facilitating professional relationships with key stakeholders and community members.
  • Schedule meetings and tours with prospective clients.
  • Coordinate with vendors, suppliers and clients to ensure events meet expectations and requirements.
  • Address last-minute issues or emergencies that may arise
  • Ensure adherence to facility-use policies and address any violations when necessary.
  • Update and communicate any procedural guideline changes.
Manage budget responsibilities by developing financial plans, monitoring expenditures, and ensuring alignment with departmental goals and college policies.
  • Plan and manage summer conference programs to generate income to support college organizations and departmental needs.
  • Effectively structure facility rental and lease agreements to generate revenue that sustains the auxiliary budget. This revenue supports full-time and part-time staff wages and benefits, funds equipment replacement, and ensures the department meets budgetary goals, fostering long-term sustainability and growth.
Oversee administrative responsibilities by managing office operations, maintaining accurate records, and ensuring compliance with college policies and procedures.
  • Maintaining accurate records of schedules, activities, and maintenance needs.
  • Proactively collaborating with local organizations, like the Cheyenne Area Convention and Visitors Bureau, to market campus facilities and attract off-campus groups.
Other responsibilities may be assigned based on contemporary institutional needs.

KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge
  • Administration and Management – Knowledge of business and management principles involved in operating a self-sustaining auxiliary operation, and coordination of people and resources.
  • Budget Control – Knowledge of producing, executing and monitoring all budgeting aspects of the auxiliary operation.
  • Systems – Knowledge of scheduling software systems to effectively operate the business and generate necessary reporting needs.
  • Customer and Personal Service – Knowledge of principles and processes for providing superior customer and personal services such that customers’ expectations are met or exceeded.
  • Sales and Marketing – Knowledge of principles and methods for showing, promoting, and selling facility rentals, and the accompanying aspects of catering and audio-visual services.
Skills
  • Analytical Business Skills – Capacity to analyze data, identify trends, and make informed decisions so as to propel the auxiliary operation’s financial sustainability.
  • Communication/Interpersonal Skills – Strong verbal and written communication skills, as well as the ability to interact effectively with others and manage interpersonal dynamics.
  • Computer Software – Proficient in software like Microsoft Office Suite and ability to utilize scheduling software systems.
  • Organization – Ability to organize tasks, resources, and workflows efficiently to best serve customer needs.

PHYSICAL/MENTAL DEMANDS:
  • There may be occurrences of interacting with employees and/or students, past employees and/or students, members of the general public, and others who express opinions, may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations
  • While performing the essential duties of this position, an employee would frequently be required to move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities
  • There may be multiple/daily instances of prolonged sitting, standing, and personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
  • An employee must frequently lift and/or move up to 20 pounds.
  • Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
  • The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well

Minimum Qualifications:
  • Bachelors’ degree from an accredited college or university in a business or a hospitality field of study,or an equivalent framework of relevant facilities and events activities experience
  • Experience in conference development activities
  • Experience coordinating large multi-organizational and multifaceted projects.
  • Experience supervising subordinate staff.
Preferred Qualifications:
  • Master's degree from an accredited college or university in a business or a hospitality field of study, or an equivalent framework of relevant facilities and events leadership experience
  • Experience managing & overseeing conference and event development and executing events and activities.
  • Experience managing facility scheduling and events activities within a higher education setting
