Job Summary:
The Manager, Exhibit & Sponsorship Services supports exhibit and sponsorship operations across multiple events, working closely with sales teams and meeting managers. This role manages exhibitor logistics, sponsorship fulfillment, vendor coordination, and on-site event execution while maintaining strong client relationships. The ideal candidate is highly organized, accountable, customer-focused, and thrives in a fast-paced environment.
Key Responsibilities:
Exhibit & Sponsorship Operations:
- Plan and coordinate exhibit and sponsorship logistics for events of various scales.
- Maintain tracking spreadsheets and organized filing systems for exhibitor service orders.
- Support exhibit hall layout planning, booth assignments, and online floor plan updates.
- Oversee sponsorship fulfillment to ensure contractual obligations are met.
- Set up exhibitor registration with vendors and update registrations as needed.
- Review exhibitor guidelines and trade show regulations to ensure compliance.
Client & Stakeholder Relations:
- Serve as a key contact for exhibitors and sponsors, providing exceptional customer service.
- Maintain communication with exhibitors/sponsors before and during events.
- Support development of customized sponsorship packages.
- Communicate unique exhibitor/sponsor requests to meeting planners.
- Follow up with exhibitors for payments and essential deadlines.
Sales & Revenue Support:
- Support sales team with exhibitor and sponsorship-related tasks.
- Assist in pricing strategies, contract management, and revenue tracking.
- Help develop marketing initiatives to increase engagement.
- Maintain strong working relationships with sales teams and vendors.
Event Execution & On-Site Management:
- Manage exhibitor logistics including move-in/move-out schedules and booth setup.
- Oversee sponsorship activations and ensure proper execution.
- Provide on-site troubleshooting and exhibitor assistance.
- Prepare shipment of exhibitor badges and lanyards.
- Maintain working knowledge of each trade show schedule.
Budget & Financial Oversight:
- Assist with budgeting and tracking expenses related to exhibits and sponsorships.
- Identify opportunities for cost-effective execution and revenue growth.
Process Improvement & Innovation:
- Assess and refine processes to enhance operational efficiency.
- Stay informed on industry trends and competitor offerings.
- Recommend improvements to elevate the exhibitor and sponsor experience.
Qualifications:
Education & Experience:
- Bachelor’s degree in business, marketing, event management, or related field preferred.
- 1–3 years of experience in exhibit and sponsorship services, event operations, or a sales environment.
- Experience in client relationship management and revenue support.
Skills & Competencies:
- Strong understanding of exhibit and sponsorship logistics and vendor coordination.
- Excellent communication and interpersonal skills.
- Highly organized with strong attention to detail.
- Ability to multitask and work under pressure.
- Proficiency in Microsoft Office (Excel required), CRM tools, event management software.
- Knowledge of HIVE, NetSuite, and Zendesk preferred.
Physical Requirements:
- Ability to lift 25 lbs and stand for prolonged periods; ability to squat, push, pull, and kneel.
- Valid driver’s license.
- Travel: approximately 6–8 trips per year.
