Job Title: Maintenance Planner Scheduler
Reports to: MRO Buyer Planner Supervisor
SUMMARY: Kayem’s Maintenance Scheduler/Planner serves as the responsible function for all maintenance activities planning and scheduling of work (facilities and equipment) on a daily, weekly, monthly and annual basis to ensure seamless operations and resource allocation to minimize downtime. Utilizing computerized maintenance management systems (CMMS). Determining when work will occur, setting milestones, and assigning resources. Will identify work requirements, develop detailed job plans, and determine the right parts, materials, tools, and technical skills needed to meet schedules. Tracks and ensures the efficient execution of maintenance tasks by our skilled hourly maintenance team members and reports on KPI’s. Assist in developing programs to implement and conduct training to Maintenance team members and leadership. Create/update PM (Preventive Maintenance) tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Maintenance Planning & Execution
- Plan and coordinate maintenance activities while ensuring full compliance with OSHA, EPA, BRC, GMP, USDA, and other regulatory standards.
- Works with Parts Clerk to ensure all parts are kitted & staged for all planned work.
- Will identify work requirements, develop detailed job plans, and determine the right parts, materials, tools, and technical skills needed to meet schedules.
- Generate and analyze reports on work progress, maintenance schedules, and personnel vacation planning.
Preventive Maintenance
- Develop and maintain a preventive and predictive maintenance program, including regular inspections, lubrications, and servicing schedules.
- Coordinate with maintenance technicians to schedule and execute preventive and predictive maintenance tasks.
- Continuously assess the effectiveness of preventive and predictive maintenance strategies and recommend improvements.
Work Order Management
- Process and review maintenance work orders.
- Prioritize and manage work orders, ensuring availability of required materials, tools, and resources.
- Ensure accuracy and completeness of work orders, including detailed instructions, materials, and estimated durations.
- Review and update completed work orders and maintain accurate equipment history within the CMMS system.
Schedule Optimization
- Develop and manage maintenance schedules to minimize downtime and maximize equipment availability.
- Optimize the allocation of resources, including labor, materials, and equipment, to ensure efficient and effective execution of maintenance activities.
- Coordinate with production and operations teams to schedule maintenance activities during planned downtime.
Parts and Inventory Management
- Collaborate with procurement and maintenance inventory teams to ensure timely availability of necessary parts, tools, and materials for maintenance activities.
- Assists Maintenance Parts Clerk in monitoring stock levels, initiate purchase requests, and maintain accurate inventory records. Identify opportunities for inventory optimization and cost savings.
Documentation and Reporting
- Maintain accurate and up-to-date records of maintenance activities, including work orders, schedules, maintenance histories, and equipment performance data.
- Generate reports on maintenance performance, highlighting key metrics, trends, and areas for improvement.
- Provide regular updates and communication to stakeholders regarding maintenance schedules and progress.
- Prepare and present reports as needed to leadership and external auditors.
Continuous Improvement:
- Identify opportunities to improve maintenance processes, increase efficiency, and reduce costs.
- Participate in cross-functional teams and initiatives focused on implementing best practices and continuous improvement methodologies.
- Proactively seek feedback from maintenance technicians and stakeholders to drive process enhancements.
Training & Personnel Management
- Train maintenance personnel on proper reporting procedures and effective use of CMMS system.
- Support contractor qualification processes and assist in monitoring contractor performance.
- Other duties and projects as assigned.
EDUCATION and/or EXPERIENCE:
- High-School Diploma(or GED) or 5 years equivalent experience
- Minimum of 5 Years hands-on in the field experience in maintenance planning or project management.
- Certifications or additional education in maintenance management or leadership is a plus
- Proven experience in maintenance scheduling, planning or related field.
- Strong knowledge of maintenance principles, practices and methodologies.
- Knowledge in computerized maintenance management systems (CMMS) Maintenance Connection, or similar.
- Knowledge of food manufacturing industry and maintenance a plus.

WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
Work is performed in an office setting on the second level of the facility and is occasionally exposed to refrigerated (35-40 degrees) and wet conditions in the manufacturing plant. The noise level in the plant is usually loud.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk and hear. The employee is required to stand, walk, and balance for extended periods, climb stairs regularly and regularly sit at a desk/workstation.
The employee must regularly lift and/ or move up to 25 pounds and occasionally lift up to 50 pounds.
Pay Range
The base pay range for this role is $30hr-$40hr.
The listed range represents Kayem Foods’ good faith estimate for this position and represents the minimum and maximum for new hire pay ranges.
Ranges are reviewed on a regular basis. An employee’s rate of pay within the range is determined by their qualifications, relevant experience, and demonstrated performance over time. In addition to those factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Hiring at the maximum of the range would not be typical to allow for future and continued wage growth. This position is eligible for our comprehensive benefits package and is eligible for an annual wage review. Kayem Foods complies with all federal, state, and local minimum wage laws.
