Summary:
Performs complex clerical work involving receiving, sorting, and distributing mail to various offices on campus and ensuring timely dissemination of mail. Work normally involves making independent decisions concerning the process to be followed and the actions to be taken.

Essential Job Function:

1.Develop database of employees, assign mailboxes, and maintain comprehensive files and logs, including combinations to mailboxes.2.Operate postage metering machine and equipment and schedule regular maintenance on machines.3.Keep record of registered, certified, overnight and express mail received using the appropriate logbooks/computer program and obtain signatures.4.Sort and distribute incoming and interoffice mail and packages. Insure that mail delivery to the various offices on campus is punctual and processed in the most efficient and expeditious manner.5.Sort and distribute students’ mail to appropriate mailboxes daily.6.Notify students of packages received by scanning package barcode. Packages will be signed out to students with appropriate identification.7.Prepare outgoing mail and packages prior to being sent out via the post office or other carrier.8.Maintain and order supplies, including postage, ink, shipping and mailing envelopes, boxes, markers, forms, stickers, tape, etc.9.Read and gather resource materials to remain current on mailroom operations.10.Provide customer service at window, answer questions, and render assistance with mail issues.11.Change postage meter date daily and record readings on the appropriate form. Maintain no less than $1,000 on postage meter.12.All other duties as assigned.

  1. Handles sensitive issues and information with confidentiality and discretion; (2) Deliver mail and packages to various offices.

Knowledge & Skills, Abilities:

§Knowledge of the English language including the meaning and spelling of words.

§Knowledge of specialized office procedures and practices which relate to the work process.

§Ability to maintain harmonious working relationships.

§Knowledge of mail room filing system.

§Knowledge of principles and processes for providing customer and personal services.

§Knowledge of and ability to use personal computers, Microsoft software, and SAP.

§Ability to operate office and mail processing machines.

§Ability to communicate effectively in writing and/or verbally as appropriate.

§Ability to understand and follow oral and written instructions.

§Ability to make independent determinations on the best possible resolution to processing problems.

§Ability to organize work in a manner which insures smooth processing and accomplishment of priority items on schedule.

§Ability to collect and organize material.

§Ability to compose correspondence of inquiry or explanation relating to a problem or request.

§Ability to lift, carry and move packages up to 50 lbs.

Certifications, Licenses, Registrations:

Valid driver’s license


Required Qualifications:

Education, Training, and/or Experience:
High school diploma or equivalent and six months as a Clerk 2 or one year of progressively complex clerical experience and completion of high school or six months of moderately complex clerical experience and completion of a post high school business curriculum or any equivalent experience and/or training which provided the required knowledge and abilities.
