Legal Administrative Assistant

Trustpoint is proud to partner with a well-respected, mid-sized law firm in their search for a Legal Administrative Assistant on a direct hire basis in their Midtown office. This hybrid role will support attorneys and administrative teams by providing high-level clerical, administrative, and coordination support in a fast-paced legal environment.


Responsibilities:

  • Provide general administrative support including calendar management and maintaining attorney contacts
  • Coordinate meeting logistics including room reservations, client hospitality, and AV setup
  • Meet and greet clients and assist with in-office meeting coordination
  • Track expenses, prepare expense reports, and manage corporate card activity
  • Arrange domestic and international travel for attorneys
  • Respond to internal requests and provide timely administrative support
  • Proofread legal documents and correspondence upon request
  • Perform scanning, copying, binding, filing, and other document management tasks
  • Prepare legal documents, correspondence, and assist with electronic filings
  • Format documents, finalize filings, and prepare tables of contents (TOCs)
  • Create and maintain client and matter files, including engagement letters and intake forms
  • Assemble binders and other legal materials as needed
  • Track attorney bar admissions, court admissions, and CLE requirements
  • Conduct light research including court filings, case information, and related materials
  • Enter attorney time into timekeeping systems and assist with contract attorney tracking
  • Review and edit prebills and draft corresponding cover letters
  • Provide occasional administrative support on personal matters for partners
  • Offer backup support to other administrative staff as needed
  • Assist with special projects and additional duties as assigned


Qualifications:

  • Associate’s degree preferred
  • 2+ years of experience in an administrative or clerical role in a law firm required
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Ability to work both independently and collaboratively with attorneys and staff
  • Professional demeanor with the ability to build strong working relationships
