Job Description:
Our law firm client is seeking a Legal Administrative Assistant - Litigation to support attorneys within its litigation practice group while also providing reception and support for the administrative team. This is a full-time, blended role designed to ensure strong coverage across front-of-house operations, administrative functions, and litigation support.
This structure reflects a balanced allocation of responsibilities across litigation work, reception coverage, and administrative assistance. The role is central to maintaining organization, responsiveness, and a high level of professionalism across both client-facing and internal operations.
About the role:
The Legal Administrative Assistant - Litigation supports attorneys in managing the day-to-day demands of litigation practice, including calendar coordination, deadline tracking, and general workflow management. The role requires strong organizational skills, attention to detail, and the ability to anticipate needs in a fast-paced environment.
Document preparation is a core component of the position. This includes drafting, formatting, proofreading, and finalizing pleadings, correspondence, and other legal materials, as well as supporting e-filings and ensuring compliance with court and firm standards. Over time, the individual will become more embedded in litigation workflows, assisting with matter organization and preparation of case-related materials.
Additionally, this individual will be responsible for consistent and professional reception coverage during business hours. This includes greeting clients and visitors, managing incoming calls, coordinating conference room usage, and serving as a first point of contact for the firm. The position plays an important role in shaping client and visitor experience and ensuring smooth day-to-day office operations.
The Legal Administrative Assistant - Litigation also provides administrative support to the firm’s administrative team and attorneys as needed. Responsibilities may include processing conflict checks and new matter requests, time entry and expense reporting, scheduling, and coordination with internal departments such as Accounting, Facilities, and IT. This aspect of the role is particularly important during the initial ramp-up period and helps ensure balanced support across the firm.
Collaboration is essential. The Legal Administrative Assistant - Litigation works closely with attorneys, paralegals, and other support professionals to ensure continuity and coverage. The role requires professionalism, discretion, and the ability to manage sensitive and confidential information with care.
