Job Description:

Our client, an AmLaw 200 firm, is looking to hire two Legal Administrative Assistants, with a strong background in Litigation, at their offices in Bloomfield Hills, MI. This is a full time, direct hire role paying annual base salary of $55K to $80K plus a performance-based bonus and excellent benefits package. The role will allow for a hybrid work week with 1 day a week remote.

Our client is seeking two experienced Legal Secretaries / Administrative Assistants - Litigation at their offices in Bloomfield Hills, MI. Under the supervision of the Office Administrator, the Administrative Assistant will assist attorneys and paralegals in providing quality legal services to clients, including preparation of correspondence, legal documents, electronic and non-electronic court filings, etc. The role also involves maintaining calendars, scheduling meetings, depositions, maintaining files, and anticipating client needs.

RESPONSIBILITIES

  • Exercises independent judgment in determining priority levels of all work assigned on a daily basis. Assures that high priority items are completed in a timely manner.
  • Types, transcribes, revises, modifies and proofreads all correspondence, memoranda, notes, outlines, legal documents, charts, forms, etc., whether from drafts, originals, or dictation; prioritizes assignments and meets specific deadlines on projects.
  • Responsible for electronic and non-electronic filings with various courts (state and federal) and tribunals.
  • Processes conflict clearance requests for new and existing clients and matters into new business intake (NBI) software system. Prepares and submits conflict check screening forms and new matter request forms through NBI. Drafts engagement letters.
  • Maintains and coordinates attorneys’ calendars including scheduling and reminding attorneys of appointments and various other dates. Makes travel arrangements and prepares itineraries.
  • Initiates and gathers pertinent materials needed for assignments from files, Records Department, Legal Information Services, etc. Downloads court filings, transcripts, records, document productions, etc., and saves to document management system (NetDocs).
  • Reviews and routes incoming mail not marked personal and confidential. Prepares and processes outgoing mail, arranging for specialized mail or messenger services as required. Ensures all attachments, exhibits, and enclosures are included. Coordinates activities with Office Services, as needed.
  • Answers and screens telephone calls. Assists callers independently on a regular basis. Exhibits the discretion to know when to contact the attorney concerning urgent or emergency calls and when to refer to another party.
  • Enters and/or releases attorneys’ time, if required. Maintains list of current billing numbers for assigned timekeepers. Assists billing coordinators with billing/e-billing questions/procedures.
  • Prepares and submits invoices and expense reports.
  • Maintains and organizes digital and hard files, working in conjunction with Records Department.
  • Assists other administrative assistants with work overflow and provides coverage for other workgroups as needed.
  • Perform other responsibilities/tasks as requested.

REQUIREMENTS

  • High school diploma or GED required; with at least two years of post-high school education strongly preferred.
  • Three to five years of legal support experience, with strong litigation support skills, required. Experience supporting litigation attorney in the following practice groups: Product Liability & Class Actions, Financial Services, Corporate & Business, and Labor & Employment.
  • Proficient in state and federal court electronic filing procedures, including MiFile (MI) and PACER. Knowledge of state and federal court rules regarding discovery, motion practice, and general procedures is helpful.
  • Proficiency in Microsoft Office Suites, including Word (styles and tables), Outlook, Excel, and PowerPoint. Knowledge of business management systems such as NetDocuments, Elegrity, FileTrail and Chrome River is helpful. Ability to use a redlining tool.
  • Excellent written (including via email) and verbal communication skills, including grammar, spelling, and proofreading.
  • High level of organizational skills, with ability to multi-task and independently meet deadlines.
  • Exceptional attention to detail required ensuring documents/correspondence are error-free. Must be meticulous in actively seeking out inconsistencies, errors, or missing information before moving forward.
  • Positive attitude and ability to deliver superior, professional services to all internal and external clients.
  • Ability to maintain a high degree of discretion and confidentiality regarding client information, documents, and conversations.
  • Ability to work independently, as part of a team, and effectively with individuals at all levels of the organization in a diverse work environment.
  • Flexibility to work overtime when required.
  • Typing speed of 55 WPM or greater.
