THE FORUM  is recruiting for a hospitality focused LEAD RECEPTIONIST to join our team! Function as the Community’s Lead Receptionist while meeting, or exceeding Life Care Services’ and the Forum’s hospitality and service standards. The Lead Receptionist provides departmental support with prior approval of assignments by the supervisor while performing administrative and clerical duties to support business office needs.

Employment Type:    Full Time

Wage Range:             $23.47-$28.98

Here are a few of the daily responsibilities of a LEAD RECEPTIONIST

  • Greet visitors and inform private caregivers of the sign-in procedure.
  • Serve as telephone receptionist for the Independent Living Building while meeting, or exceeding Life Care Services’ and the Forum hospitality and service standards. Ensure that all Front Desk job requests from other departments and from residents are done on weekends.
  • Receive and transfer telephone calls to the appropriate parties; take and deliver telephone messages as necessary; acquire in-depth knowledge of community telephone systems to effectively utilize system features.
  • Assist with the Community’s marketing/sales process by answering inquiries concerning the Community both over the telephone and in person; all inquiries should be handled according to Life Care Services’ hospitality and service standards. Direct calls to the Sales/Real Estate office when appropriate.
  • Ensure AYS is completed timely each day according to the current schedule.
  • Ensure that the Absent Log is always updated and reflects the correct information (e.g.: vacation dates, HCC, hospital).
  • Send the Community Building receptionist's weekly productivity report to the Supervisor every Sunday.
  • Responsible for processing unit authorization forms for new residents, making sure they are entered in all documents that need to be updated (e.g.: absent log, unit authorization, resident per level, online and paper phone directories, etc.)
  • Ensure that the copy room has enough postage and printing supplies. Responsible for ordering Ricoh toners, USPS, and FedEx mailing supplies and ensuring that there’s always enough postage in the postage machine.
  • Maintain inventory of office supplies and equipment.
  • Ensure AYS is completed timely each day according to the current schedule.

     

Here are a few of the qualifications we need you to have:

  • Must be available to work on Friday, Saturday, and Sunday including holiday mornings.
  • AA Degree and/or a minimum of one year of administrative/receptionist experience.
  • Must be able to communicate effectively both verbal and written.
  • Working knowledge of Word, Outlook, and other Microsoft Office applications; ability to type at least 35wpm.
  • Must be able to create Word documents and correspondences using correct grammar and spelling.
  • Willingness to work with the elderly.
