The position works as the Family Law Facilitator Support & Self-Help Intake Clerk and the class specification title is Judicial Assistant III - Office Assignment.

This position triages and assists self-represented litigants seeking legal services from the Family Law Facilitator and the Legal Resource Center programs in both English and Spanish; conducts intake of program participants; assists self-represented litigants in the completion of forms and provides basic referral services. The position maintains records and reports; coordinates meetings and appointments and provides clerical support for the Family Law Facilitator. Bilingual skills are required for this position.

Under general supervision, performs judicial and/or program support duties including legal processing, calendaring, exhibits, customer service, intake/screening and other administrative support work, and acts as a lead worker over subordinate employees in an office based work unit, and/or may oversee, lead, train, and/or assign a unique or specialty work load.

DISTINGUISHING CHARACTERISTICSThe Judicial Assistant III is the journey and advanced journey level in the Judicial Assistant classification series. The Judicial Assistant III–Office Assignment is distinguished from all other Judicial Assistants in that the primary focus is leading, training and assigning the work of subordinate Judicial Assistants within an office based work unit, and/or formal responsibility for overseeing, leading, training, and/or assigning a unique or specialty work load. The Judicial Assistant III-Office Assignment is distinguished from the Judicial Assistant III-Court Assignment in that the primary focus of the court assignment is clerical and administrative courtroom support work. The Judicial Assistant III classification as a whole, both office and courtroom assigned positions, may act as a "lead-worker"; leading, training and assigning the work of subordinate and/or lesser experienced Judicial Assistants. The courtroom assigned Judicial Assistant III though would typically be assigned responsibility for "peer" training of lesser experienced Judicial Assistant III-Courtroom Assignment employees as needed. The Judicial Assistant III-Office Assignment and Courtroom Assignment may be assigned to cover other Judicial Assistant III assignments as needed. The Judicial Assistant III classification as a whole, both courtroom and office assignments, are not included in the Judicial Assistant I/II flex series.
  1. Leads the work of subordinate employees; trains, coaches and instructs in work procedures; devises new methods; reviews quality of completed paperwork.
  2. Performs the most difficult and complex duties assigned to the work unit including receiving and examining legal documents for accuracy, completeness and conformity to requirements; returns unacceptable documents; affixes seals and stamps to endorse, certify, and/or file documents; examines ledgers, reports and other financial documentation for technical defects and accuracy.
  3. Advises litigants, public agencies and the public on the status of cases and provides procedural information; answers inquiries and explains filing processes; explains fees and fines; assists individuals in locating material and information; accepts fines and fees; issues and balances cash drawers.
  4. At the direction of a judge, prepares and issues legal orders such as warrants, writs, orders, subpoenas, abstracts and other official documents on behalf of the court; recalls warrants, exonerates bail, prepares judgments, and dismisses or seals cases in accordance with established codes and court procedures.
  5. Prepares and maintains documents and exhibits; files legal documents and related case materials; retrieves and delivers files and documents to court or appropriate parties; maintains court records and files, such as records of court-appointed counsel and experts; receives, marks, and takes custody of evidence.
  6. Prepares court calendars and or calendars cases for hearing, conferring with the appropriate individuals according to established procedures; distributes calendars and related case files for review; prepares a variety of documents related to court operations and coordinates the flow of documents necessary for court assignment.
  7. Provides specialized clerical support to various court programs and functions as assigned.
  8. Performs related duties as assigned.
  1. One year of experience performing the full range of duties of a classification equivalent to Judicial Assistant II with Court; OR
  2. Successful completion of college level courses or equivalent specialized training in legal terminology, legal procedure, and court procedures; OR
  3. Any combination of training, education, and experience that would provide the required knowledge and abilities.
Knowledge of: office practices; basic mathematics; legal terminology; court rules and filing procedures; requirements of court documents; laws, policies, and procedures associated with all types of trials and court proceedings; preparing of case files, dockets and court calendars; computers, computer applications and automated databases. Ability to: maintain confidentiality; utilize sound judgment in performing court-related duties; pay attention to detail; understand, explain, and comply with a variety of detailed procedures; organize work tasks; establish and maintain professional, courteous working relationships with staff, legal community, and the public; establish work priorities; lead, train, assign and review work of others; use a computer and associated equipment, and applications to complete the work of the Court.
