We are seeking a detail-oriented and experienced International Logistics Coordinator to join our team onsite. This role is critical in ensuring the smooth and efficient movement of goods across our global supply chain. The coordinator will manage freight shipments (including overseas operations with China and other countries), maintain strong communication with carriers, vendors, and internal teams, and support overall logistics operations.
The ideal candidate is highly organized, proactive, and able to exceed customer expectations related to shipping needs. This individual will work closely with the International Logistics Manager and VP of Operations to ensure global account requirements are met, while also supporting project managers and the sales team during customer onboarding.
Responsibilities:
- Plan and coordinate domestic and international freight shipments, including scheduling pickups and deliveries with carriers.
- Manage import/export documentation both within and outside of QuickBooks.
- Coordinate bookings with freight forwarders and assist with customs clearance and shipment issues.
- Track, trace, and report shipment status to ensure timely delivery to customers and company facilities.
- Maintain accurate shipment records, cost tracking, and daily import activity logs (shipping manifests).
- Communicate proactively with suppliers, warehouses, and customers regarding shipment updates.
- Ensure compliance with international trade laws, transportation regulations, and company policies.
- Analyze logistics data to identify cost-saving and process improvement opportunities.
- Prepare and review shipping documents, including bills of lading, commercial invoices, customs paperwork, CBP Form 7501, and broker invoices.
- Assist with freight claims and Duty Drawback processes as needed.
- Review customer routing guides and ensure supplier compliance.
- Provide support in resolving documentation, customs, and shipping issues.
- Collaborate with project managers and sales teams to support customer onboarding.
- Perform additional duties as assigned by management.
Requirements:
- Minimum 5 years of experience in import/export, logistics, or supply chain coordination, including overseas shipping (China preferred).
- Strong understanding of freight methods: truck, air, and ocean.
- Proficiency in logistics systems (TMS/ERP) and Microsoft Office, especially Excel.
- Experience with QuickBooks is a plus.
- Knowledge of Harmonized Tariff Codes (HTS) and Free Trade Agreements.
- Familiarity with customs documentation, including CBP Form 7501 and broker invoices.
- Understanding of 10+2 / AMS filing requirements.
- Strong communication and negotiation skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High attention to detail and problem-solving ability.
- Knowledge of international shipping regulations and trade compliance.
- Bachelor’s degree in logistics, supply chain, or a related field preferred but not required.
Work Schedule:
This is a full-time, in-person position based at our office.
Standard hours are 9am – 5pm PT, Monday through Friday
Additional hours may be required based on business needs.
