IP Legal Assistant / Patent & Trademark Legal Secretary
Location: Scottsdale, AZ (Fully On-Site)
Salary: $65,000 - $75,000+ (Dependent on experience; flexibility above range)
A growing intellectual property practice within a nationally recognized law firm is seeking a Legal Assistant to support a small, collaborative IP team. This role is open due to internal promotion and offers strong long-term growth potential within the group.
Position Overview:
This is a full-time, fully on-site position supporting multiple attorneys within a busy IP practice. The team handles patent and trademark matters and operates in a fast-paced, high-volume environment. Salary is dependent on experience and not capped, with flexibility for the right candidate.
Key Responsibilities:
- Provide administrative and legal support to attorneys and a patent agent
- Prepare correspondence, legal documents, and filings
- Assist with patent, trademark, and copyright prosecution processes
- Maintain IP-related databases and electronic files
- Manage calendars, deadlines, and docketing reminders
- Conduct conflict checks and assist with new matter intake
- Coordinate travel arrangements and expense reimbursements
- Enter attorney time and handle billing-related tasks
- Communicate with clients and assist with general administrative needs
Qualifications:
- 3+ years of intellectual property experience (patent and/or trademark) preferred
- Familiarity with USPTO systems, filings, and prosecution processes strongly preferred
- Knowledge of IP procedures and deadlines (U.S. and/or foreign)
- Experience in a high-volume legal environment
- Strong proficiency in Microsoft Office (Office 365)
- Excellent organizational, multitasking, and proofreading skills
- Ability to adapt quickly and work collaboratively in a team setting
- Strong communication skills and professional judgment

- Fully on-site role (daily in-office presence required)
