Contract HRIS Project Coordinator - San Francisco, CA (Hybrid)


LHH is partnering with a mission‑driven organization in San Francisco, CA to hire an HRIS Project Coordinator to provide administrative and logistical support for a large‑scale Oracle HCM system implementation.


This role is intentionally coordination‑heavy and execution‑focused. The HRIS Project Coordinator will not serve as a project decision‑maker or subject‑matter contributor. Instead, they will act as the central administrative hub, ensuring schedules are maintained, meetings are organized, action items are tracked, and project leaders are fully supported from a logistics standpoint.


This position is ideal for someone coming from an Executive Assistant, Administrative Assistant, scheduler, or dedicated project coordination background, particularly within large, cross‑functional initiatives. Deep HR experience is not required.


Role Overview


The HRIS Project Coordinator supports a complex, fast‑moving enterprise implementation by handling the behind‑the‑scenes coordination work that allows the project team to stay focused on delivery. Success in this role comes from organization, follow‑through, and strong administrative execution.


Key Responsibilities


  • Own calendaring, scheduling, and logistics across a large‑scale Oracle HCM implementation
  • Coordinate and schedule project meetings, workshops, working sessions, and leadership check‑ins
  • Prepare meeting logistics and materials, including agendas, presentations, and supporting documents
  • Attend meetings for the purpose of note‑taking, action‑item capture, and follow‑up
  • Track action items and confirm timely completion with assigned owners
  • Maintain and update project schedules, trackers, and resource calendars
  • Resolve scheduling conflicts and manage shifting priorities across multiple stakeholder groups
  • Handle project administration such as document management, meeting setup, and collaboration tools
  • Support project leadership by ensuring timelines, meetings, and deliverables stay organized
  • Manage routine project communications and status updates as directed
  • Serve as the primary coordination and administrative point of contact for the project


Required Qualifications

  • 5–8 years of experience in project coordination, executive support, administrative support, or scheduling roles
  • Demonstrated experience supporting large, multi‑stakeholder projects (IT, systems, enterprise initiatives, or similar)
  • Exceptionally strong organization, calendaring, and follow‑through skills
  • Proven ability to track details, manage action items, and keep work moving without constant direction
  • Comfort working behind the scenes in fast‑paced, evolving environments
  • Experience partnering with teams across functions such as IT, Finance, and Operations


Nice to Have (Not Required)

  • Exposure to Oracle or other enterprise systems
  • Prior support of HRIS, HCM, or IT system implementations


Role Details

  • Job Type: Contract (10–12 months)
  • Start Date: ASAP
  • Hours: Full-time, standard business hours
  • Location: Hybrid, San Francisco, CA
  • Pay Rate: $30–40/hour
