We are seeking a Hardware Logistics Coordinator to support an innovative software AI start-up in San Francisco, CA. This role is critical in ensuring every component, prototype, and piece of equipment arrives where it should, when it should, and in perfect condition. The ideal candidate will own the tracking and movement of all hardware team packages, manage customs paperwork, and be the go-to person for keeping hardware operations running without a hitch.
Responsibilities
- Oversee end-to-end inbound and outbound logistics for hardware prototypes components, and equipment, domestic and especially international.
- Proactively track all incoming and outgoing shipments, maintain detailed logs, and ensure stakeholders have real-time status updates.
- Coordinate with overseas vendors, freight forwarders, and customs brokers to minimize delays and resolve shipping issues quickly.
- Prepare and package fragile, high-value, or sensitive materials to meet international shipping and customs requirements.
- Manage hardware asset records, including serial numbers, shipment histories, and storage locations.
- Support the hardware team's international travel logistics, working closely with leadership EAs and travel agencies to align schedules and coordinate the transport of necessary equipment.
- Plan and manage detailed travel itineraries, including flights, accommodations, and logistics, proactively addressing any issues.
Qualifications
- 2+ years in logistics, supply chain operations, or administrative support with international shipping experience.
- Understanding of customs documentation, import/export compliance, and HS codes.
- Skilled in using common shipping platforms and tools (e.g., FedEx, UPS, DHL) and comfortable with freight forwarder portals.
- Strong organizational skills with proven ability to track multiple shipments simultaneously without errors.
- Reliable, detail-oriented, and able to anticipate problems before they arise.
- Comfortable lifting and moving boxes/equipment up to 30 lbs.
- Problem-solver with flexibility to support areas outside your core expertise.
Location: San Francisco, CA (fully onsite)
Compensation and benefits: $85-$125K depending on experience, full benefits package, equity, and additional perks are included.
