Position Overview:

The Grant Finance Associate will serve on Enlace Chicago’s financial management team, responsible for the integrity, accuracy, and stability of the organization’s fiscal operations. This position will be responsible for the preparation of monthly grant billings, supporting grant budget processes, and performing key accounting functions including accounts payable, reconciliations, and maintaining financial records. The role requires strong attention to detail, accuracy, and the ability to manage deadlines in a fast-paced environment.


Key Responsibilities:

Voucher Creation and Processing

  • Prepare monthly grant invoices, verify expenses, compile documentation, and reconcile amounts with the general ledger and grantor records.
  • Record grant and program cash receipts; respond to grantor and internal billing inquiries.
  • Produce Aged Receivables report and ensure it ties to the balance sheet.
  • Contact funders/grantors who are past due on invoices to ensure timely receipt of payment.

Cost Allocations

  • Assist in the preparation of reporting that allocate costs to the various programs.
  • Provide necessary Journal Entry support for accounting to record cost allocations in the ledger.

Accounts Payable

  • Receive and process bills received from the organization and program staff.
  • Set up and maintain vendor accounts.
  • Work with accounting to confirm proper recording in the ledger.

Office and Team Support

  • Support in the processing of checks and run through the deposit machine.
  • Support the front desk and Executive Director with inbound and outbound mail.
  • Support Accounting and Finance team members with large team-wide projects, as needed.

Requirements

Additional Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field a plus, but not required.
  • Minimum of 1–2 years of nonprofit experience.
  • Demonstrated knowledge of excel spreadsheets and attention to detail.
  • Excellent communication skills and ability to work with others across the organization.
  • Commitment to social justice, equity, and Enlace Chicago’s mission.
  • Bilingual (English/Spanish) a plus but not required.
  • Proficiency with accounting software (e.g., Sage Intacct, QuickBooks, or similar), spreadsheets, and financial modeling tools, a plus, but not required.

Compensation:

The annual salary range for this position is between $50,000 and $55,000. Salary is commensurate with experience in addition to the generous benefits package listed below.

  • Retirement program. Enlace Chicago offers a voluntary 403(B) plan which begins at a 1% contribution. Enrollment is available after a 90-day grace period beginning on the first day of employment. An enrollment packet will be mailed to you.
  • Paid time off. You will receive 96 hours of Upon Hire hours, which will be prorated depending on your start date. After your 3rd month, you will accrue 3.33 hours per pay period or a total of 6.66 per month. All vacation days are considered above and beyond the approved holiday schedule. Enlace has 12 paid holidays with a Holiday week between Christmas and New Year’s Day that will not be deducted from your PTO.
