Day ShiftDescription:GIFT PROCESSOR and DATABASE ANALYST
SUMMARY AND PURPOSE:
Gift processing, donor acknowledgment, data entry, and general administrative tasks. Responsibilities include entering gifts into fund raising CRM software; scanning donor checks for deposit; entering donor credit card payments into online processing system; preparing cash deposits; entering departmental expenses into Accounts Payable system); preparing requisitions for invoices and tracking department purchase orders; managing special event revenue and expenses, maintaining various spreadsheets to track department’s performance and projects; leading finance operations at Festival of Trees; serving as liaison to Foundation Board Finance Committee; other duties as assigned.
REQUIREMENTS:
High school diploma or equivalent required. Associate's degree in business, certification from a two-year college or technical school, or three years of related experience and/or training preferred.
Fundraising work experience in health care or non-profit organizations, preferred.
Experience working with donor database management software such as Blackbaud's CRM, Raiser's Edge, eTapestry, Donor Perfect or Salesforce software, strongly preferred.
WHAT YOU WILL DO:
1. Gift Entry
a. Enters daily gift and pledge data in batch into CRM database with accuracy and attention to detail, according to detailed instructions. Includes cash, credit card, online gifts, securities, payroll deduct, planned gifts, gifts in kind and others. Works to resolve complications arising from non-standard or liquid gifts.
b. Checks and verifies daily gift/pledge transmittal against data entry reports.
c. Produces gift acknowledgements and thank-you letters, receipts, pledge reminders, honor/memorial letters and ad hoc correspondence with donors. Contacts donors as needed to clarify gift intent or disposition.
d. Maintains confidential donor files, posts contributions to donor’s records ensuring accurate donor giving history, revises demographic information as necessary, and establishes appropriate coding of donors and prospects.
e. Responsible for reports as requested by supervisor and leadership team.
f. Manages Gift Entry Portion of Procedure Manual.
g. Assists with special projects, reports, mailings, events, and others as requested by supervisor.
h. Work closely with the Finance department for weekly check deposits, credit card BBMS processing, wiring and stock transactions, payroll and recurring gift coding, gift reporting and reconciliation, troubleshooting and ensuring appropriate designation coding, obtain new pledge signatures and more.
2. Data Entry
a. Updates and manages existing constituent records to ensure accuracy.
b. Ensure preservation, integrity, accuracy and confidentiality of constituent data.
c. Analyzes data to ensure accurate demographic and personal history information while maintaining the confidentiality of donor information.
d. Regularly updates Groups/Committees to ensure up-to-date information for communications and solicitations.
e. Work on database clean-up projects as assigned.
3. Process regional special event registration for signature events and others as assigned by Supervisor
a. Event registration processing for the region.
b. Assist and trains other gift entry personnel on process for event registration entry and reports.
c. Process event registration in CRM database.
d. Coordinate all materials for onsite registration process ensuring lists are up to date with most current payment information.
e. Work with event manager to ensure guest information is accurate when utilizing third party software for onsite registration.
f. Assist in maintain records and produce reports for major event registration.
g. Run event reports as needed.
h. Other event related tasks as assigned by Supervisor.
4. Reports
a. Produce daily, weekly, monthly and ad hoc reports as assigned by Supervisor and leadership team.
5. Department support
a. Administrative support for the department included but not limited to: Peoplesoft request processing, office supplies, etc.
