Kitsap Mental Health Services (KMHS) is hiring a Forensics Administrative Assistant to support our dynamic clinical teams and ensure seamless daily operations across our outpatient services. In this critical role, you’ll manage team communications, triage calls, facilitate scheduling, coordinate administrative processes, and contribute to efficient care delivery. You’ll work closely with clinicians, clients, and cross-departmental staff to ensure timely information sharing and responsive service. Primary Responsibilities:
Provide executive-level administrative support to the Chief Medical Officer.
Organize project management flow
Take notes/minutes in meetings.
Manage calendars to make appointments in Outlook, coordinate appointments with outside offices, and efficiently resolve scheduling conflicts.
Maintain electronic and hard copy filing systems.
Manage and sort email, reply as appropriate and identify urgent items for timely review.
Facilitate preparation for meetings by scheduling participants and conference rooms, provide agendas & handouts electronically, and any other necessary materials.
Record, compile, transcribe and distribute minutes of internal meetings.
Review time cards, time-off requests, and credentialing alerts for direct reports of Medical Director
Assist medical residents with scheduling, assignments and interagency contacts in order to facilitate a positive educational experience for them.
Complete daily administrative tasks and projects to assure smooth and efficient office operations.
Complete special projects as directed by your supervisor, including topical research, data collection, and facilitation of conferences or other educational productions.
Maintain sustained attention to detail with the ability to multi-task from multiple administrators.
