Fleet Vehicle Coordinator
Salary: $50,000 – $58,000 Annually
Location: Schaumburg, IL
We are seeking a highly organized and detail-oriented Fleet Vehicle Coordinator to join our team. This position plays a key role in supporting vehicle acquisitions and ensuring the accurate and timely processing of orders, deliveries, and related documentation. This role is responsible for managing vehicle orders, tracking deliveries, maintaining accurate records, and providing excellent customer service to internal teams, vendors, and partners. Key Responsibilities
- Enter and manage vehicle factory orders within internal systems
- Review and reconcile manufacturer order acknowledgements
- Track and update vehicle in-service and delivery dates
- Communicate with dealerships and vendors to gather and confirm information
- Run reporting and follow up on vehicle delivery status
- Maintain and organize documentation, including scanning and recordkeeping
- Support administrative tasks such as mail distribution and document processing
- Assist with inbound calls related to vehicle purchasing and fuel inquiries
- Collaborate with team members to support departmental operations and special projects

Qualifications
- 2+ years experience in an administrative, customer service, or order management role
- Experience in automotive, fleet management, logistics, or vehicle related administrative support is a plus
- Prior customer service or office experience highly valued
