The Opportunity

WSDOT is seeking a Fiscal Specialist to provide critical clerical and operational support to Region Wide Crews and Maintenance & Operations staff in the South Central Region. In this role, you will support a wide range of business functions, including payroll, travel coordination, purchasing, budgeting, inventory tracking, and financial reporting, while ensuring accuracy, compliance, and timely processing of administrative activities. The role will also assist in coordinating daily office operations, supporting management and staff, interpreting and applying policies and procedures related to fiscal and personnel processes, and facilitating maintenance participation in community engagement efforts. A strong candidate will possess excellent organizational and time management skills, attention to detail, proficiency in financial and administrative systems, and the ability to manage multiple priorities in a fast-paced environment.

What to Expect

Among the varied range of responsibilities held within this role, theFiscal Specialist 1 will:

  • Review, audit, and verify area invoices for accuracy and compliance.
  • Update and maintain voucher payment and filing system.
  • Forward voucher documents to Financial Services for processing.
  • Collect and compile data for program budget reports and help keep budget reports updated for Region Maintenance Manager and Maintenance Analyst.
  • Purchase office supplies for the Maintenance & Operations office.
  • Review Region Wide Crew employees’ timecard entries, assist employees and supervisors with clearing exception errors, coding errors, and leave requests.
  • Work with Supervisors and Line-Item Approvers to approve daily entries, leave requests, and to correct errors.
  • Run payroll reports and reviews for accuracy.
  • Attend Region Budget meetings, transcribe and maintain accurate notes.


Qualifications

To be considered for this opportunity, the following competencies are required:

  • Financial Document Management & Compliance:Demonstrates attention to detail and knowledge of financial procedures in preparing, auditing, and processing financial documents such as invoices, purchase requests, travel vouchers, and reimbursements, ensuring adherence to policies and standards.
  • Payroll Processing & Compliance:Demonstrates the ability to accurately compile and calculate payroll data from multiple sources, ensuring all payroll activities comply with applicable laws, regulations, and policies regarding procedures, deductions, and computations.
  • Data Management & Reporting: Ability to collect, compile, track, and maintain fiscal and budget data, ensuring accuracy and producing reports to support management decision-making.
  • Systems & Technical Proficiency:Experience using financial, payroll, and administrative systems (e.g., payment processing, timekeeping, tracking systems) along with standard office software to complete work efficiently and accurately.
  • Confidentiality & Information Stewardship:Proven ability to handle sensitive financial, payroll, and personnel information with a high degree of discretion, maintaining confidentiality and adhering to privacy policies and ethical standards.
  • Customer Service & Communication:Demonstrated ability to provide responsive, professional customer service by assisting staff, supervisors, and the public with information, problem resolution, and administrative support.
  • Growth Mindset: Actively demonstrates a commitment to learning and growth.
  • Service-Oriented:Takes action to meet the needs of others.

The following qualifications is also required:

  • A valid driver’s license and the ability to operate state-owned vehicles.

It is preferred that qualified candidates also demonstrate:

  • Problem Solving & Decision-Making: Ability to make informed decisions and resolve complex issues effectively.
  • Procurement & Inventory Systems: Experience with purchasing processes, including use of related systems and tools.
  • Accounting & Customer Service: Capable of learning and applying accounting procedures while delivering quality customer service.
  • Payroll Processing: Understanding of payroll systems and ability to ensure accurate and timely updates and corrections.
