This position provides support to the Fire Training Team with an emphasis at the Fire Training Center at Wake Tech East. This position is required to expand non-degree offerings in Public Safety.To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily. *Provides clerical, administrative, compliance, reporting, and technical assistance including scheduling, preparing and routing assigned paperwork
*Routinely handles tasks such as mail distribution, routine repair of office equipment, mailings, ordering non-clinical supplies and file maintenance
*Assists and works closely with the college and campus divisions to ensure division and departmental guidelines are met and all forms are submitted as required including travel forms, reports, and contracts
*Enters, verifies and updates students' information in the Colleague student system and registers students for classes
*Processes and verifies all class paperwork, such as registration forms, enrollment reports, memos, and instructors' contracts, is complete for each section
*Prepares, evaluates, and submits end of class paperwork in accordance with OSFM and WT Continuing Education Registrar's deadlines including end of the semester grades and reports are completed
*Verifies student hours and total class hours
*Manages discount codes for eligible students
*Reviews class packets to make sure information is correct
*Maintains OSFM required documentation, reports, and compliance files
*Reviews, creates, and updates course copy process from courses listed NC Community College System Combine Course library and builds course sections in the college's student information system
*Prepares instructor contracts, contract changes, instructor packets, and monthly payroll for departments within the division
Assists as a liaison for public safety education and training team to the public to provide general information including answering the telephone and provides information to callers
Assists in assessing and amending workflow procedures
Supports with review of annual files and multiple accreditation compliance
Works closely with the Public Safety Education and Training Team and East Wake Campus Team to ensure regular and timely communication within the division
Assists with the implementation of pertinent codes, rules and policies
Assists faculty in preparing classroom materials Assists with planning various ceremonies and events
Supports the Division in meeting accountability requirements for federal, regional, state, and local agencies including audit reports
Tracks, orders and manages purchases for the Fire & Rescue Training Center at East Wake as needed and maintains an inventory of office supplies and forms

Minimum Requirements
Associate degree
Two years of administrative, clerical, or emergency services experience
OR combination of education and experience
Strong computer and communication skills; attention to detail
Preferences
Experience in higher education or emergency services
Experience with OSFM documentation or certification process
Two years’ experience working with database applications
