Job Summary

The Financial Systems Associate role provides administrative and operational support to the department by compiling information, data entry, and assisting with contract compliance in accordance with organizational policies and procedures. This is an onsite position Monday-Friday in Grapevine.

Essential Functions of the Role

  • Review proposed contracts to ensure compliance with established policies and procedures
    • Support contract negotiations by analyzing legal language and financial terms as directed
    • Gather and verify required data from internal departments; follow up to resolve discrepancies or missing information
    • Assist with contract execution, including documentation preparation, interpretation, and setup of payment processes.
    • Maintain accurate and confidential records and communications.
  • Provides ongoing contract support by:

    • Monitoring contract Management database(s) for accuracy and completeness
    • Initiating contract updates or modifications as needed
    • Tracking contract expirations to ensure uninterrupted coverage

  • Support financial operations by:

o Reviewing documentation for compliance with contract terms

o Processing financial transactions, data entry, and tracking expenditures

o Reconciling data and preparing recurring reports for leadership

  • Promptly and courteously responds to questions by researching coordinating with department such as legal, supply chain, accounting, accounts payable, or payroll departments, in a timely manner.
  • Attends meetings with outside vendors and internal stakeholders to resolve disputes and support organizational objectives
  • Perform daily responsibilities with minimal supervision while maintaining high standards of accuracy and efficiency

  • Critical thinking and problem-solving skills
  • Proficiency in Microsoft Excel and general computer applications
  • High attention to detail with strong organizational skills
  • Experience with document management and records retention practices
