The Specialist, Corporate Real Estate serves as a frontline resource supporting a hybrid workplace model and facilities operations. Under general direction, this role supports workspace management and facilities coordination to ensure seamless workplace experiences for staff and visitors across assigned location(s). This position contributes directly to workplace efficiency and overall employee satisfaction.
Key Responsibilities Workspace & Reservation Management
- Manage workspace reservation systems and resolve booking issues across assigned locations
- Provide timely, professional support to employees and visitors navigating workspace and reservation processes
Conference & Meeting Space Operations
- Maintain conference rooms and meeting spaces to ensure readiness and professionalism
- Coordinate setup and ensure functionality of equipment with minimal supervision
Facilities Coordination
- Process and coordinate service requests through facilities management systems
- Partner with contractors, building management, and internal teams to resolve facility-related issues
Vendor & Contractor Support
- Assist with oversight of vendor maintenance activities and ensure compliance with internal procedures
- Maintain vendor documentation, insurance records, and service schedules
Administrative & Procurement Support
- Process invoices and purchase requests
- Coordinate staff moves and manage supply inventory and ordering
Asset & Inventory Management
- Track equipment, inventory, and operational supplies
- Collaborate with maintenance teams on inventory control and updates
Documentation & Compliance
- Maintain accurate records of work orders, vendor files, and facilities documentation
- Ensure adherence to internal policies and procedures
Reporting & Analysis
- Monitor workspace utilization and facilities performance metrics
- Prepare reports on operational effectiveness and trends
General Responsibilities
- Work independently on routine tasks while escalating complex issues appropriately
- Collaborate effectively across teams in both in-person and virtual environments
Qualifications - Associate's degree (or higher) in Business Administration, Facilities Management, or related field, or equivalent experience
- Minimum 4 years of experience in facilities coordination, administrative support, or customer service
- Experience with reservation systems and facilities management tools
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong organizational skills with high attention to detail
- Excellent communication and customer service skills
- Ability to interact professionally with all levels of an organization
- Strong problem-solving skills and ability to work independently within established guidelines
- Ability to manage multiple priorities in a fast-paced environment
- Experience with procurement and vendor coordination preferred
Work Environment - Ability to lift up to 50 lbs and move equipment up to 75 lbs
- Full-time onsite presence required
- Flexibility to work outside normal business hours and participate in on-call rotation
- Occasional travel may be required
