We are seeking an experienced Legal Assistant/Paralegal to support a high-volume real estate, zoning, land use, and property tax assessment practice throughout Pennsylvania (various counties including Philadelphia) and New Jersey.
This position is ideal for a highly organized, resourceful, self-directed professional who thrives in a fast-paced environment and can independently manage administrative and case-management responsibilities. The successful candidate will serve as the central point of coordination for the attorney's matters, ensuring deadlines are met, files remain organized, and all matters move forward efficiently. This position requires a professional who is proactive, persistent with follow-up, attentive to detail, and capable of anticipating needs and keeping multiple projects on track simultaneously. The ideal candidate is not simply an assistant but a trusted practice manager.
Responsibilities
- Manage all administrative and case-management responsibilities
- Maintain complete awareness of the status, deadlines, and next steps for all active matters.
- Track zoning, land use, tax assessment appeal, and real estate files from inception through resolution.
- Prepare, review, organize, and file legal documents, applications, pleadings, correspondence, and exhibits.
- Coordinate filings and communications with municipal boards, planning commissions, zoning hearing boards, tax assessment offices, courts, clients, consultants, and opposing counsel.
- Maintain calendars, hearing schedules, filing deadlines, and task lists.
- Proactively follow up on outstanding items and ensure matters continue moving forward without constant direction.
- Prepare hearing materials, exhibits, and supporting documentation.
- Organize electronic and physical files and maintain accurate matter status reports.
- Serve as a key point of contact for clients and third parties.
Qualifications
- Minimum 5+ years of legal assistant or paralegal experience in real estate, zoning, land use, or property tax matters.
- Strong administrative, organizational, and project-management skills.
- Ability to work independently with minimal supervision.
- Demonstrated ability to manage competing priorities and multiple deadlines.
- Exceptional attention to detail and follow-through.
- Comfortable taking ownership of matters and proactively identifying issues requiring attorney attention.
- Experience handling PA (various counties including Philadelphia) and NJ property tax assessment appeals preferred.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, PDF software, document management, and legal case-management systems.
