The Executive Support Coordinator will provide high-level administrative and operational support to the Office of the CEO. This role is critical to ensuring the efficiency and effectiveness of the CEO’s daily operations while also supporting broader organizational priorities and initiatives.


This individual will manage complex scheduling and calendar coordination, including prioritizing meetings, handling logistics, and ensuring optimal time management for the CEO. Responsibilities include preparing briefing materials, drafting and managing correspondence, coordinating internal and external communications, and serving as a key liaison among the CEO, senior leadership, partners, and stakeholders.


The Executive Support Coordinator will also oversee travel arrangements, meeting preparation, and follow-up, ensuring all details are executed seamlessly. In addition, this role will support project management across key initiatives by tracking deliverables, maintaining timelines, and ensuring accountability across teams.


Success in this position requires a high degree of professionalism, discretion, and sound judgment, particularly when handling sensitive and confidential information. The ideal candidate is proactive, highly organized, detail-oriented, and able to anticipate needs before they arise. Strong written and verbal communication skills, the ability to manage multiple priorities in a fast-paced environment, and a solutions-oriented mindset are essential.


Detailed Responsibilities


  • Provide comprehensive administrative support to the CEO, including drafting correspondence, preparing documents, managing emails, scheduling, and coordinating meetings.
  • Manage a complex and dynamic calendar, prioritizing competing demands and ensuring effective time management.
  • Coordinate and support internal and external meetings, including logistics, agenda development, preparation of materials, and capturing and communicating key takeaways and action items.
  • Prepare briefing documents, reports, and presentations to support executive decision-making.
  • Serve as a primary liaison between the CEO and internal teams, external partners, sponsors, and stakeholders, ensuring clear and timely communication.
  • Oversee all travel arrangements, including itineraries, accommodations, and logistics, ensuring seamless execution.
  • Track key initiatives, deliverables, and timelines, ensuring accountability and follow-through across teams.
  • Support organizational projects, programs, and events, ensuring alignment with timelines and strategic priorities.
  • Manage and maintain contact lists, partner databases, and sponsorship records, ensuring accuracy and consistency.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Foster a collaborative and positive team culture by supporting team members and contributing to a solutions-oriented environment.


Qualifications and Experience


  • Minimum of 5 years of experience supporting a senior executive in an administrative or executive assistant capacity.
  • Highly motivated, proactive, and self-driven, with the ability to anticipate needs and take initiative.
  • Demonstrates strong alignment with the mission and values of Generation W.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills, along with strong interpersonal abilities.
  • Proven experience managing complex calendars, coordinating travel, and supporting high-level meetings.
  • Strong business acumen, with the ability to monitor, compile, and analyze data to support decision-making.
  • Demonstrates sound judgment, professionalism, and discretion when handling confidential information.
  • Comfortable working in a fast-paced, collaborative, and team-oriented environment, with flexibility to adapt as priorities shift.
  • Proficiency in CRM systems and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience supporting projects and driving execution across teams is strongly preferred.
