About the Role
We are seeking an experienced Executive Personal Assistant to support an ultra-high-net-worth
entrepreneur and his family. This is a hands-on, high-trust role managing all aspects of the family's
personal operations — from multi-property oversight and contractor management to travel logistics, vendor coordination, and calendar management.
The ideal candidate doesn't wait to be told what to do. You walk in, assess what needs to happen, build the systems, and take ownership. You've done this before for demanding principals and you thrive in it.
Responsibilities
- Serve as the primary point of contact for all vendors, contractors, maintenance providers, and service companies across multiple properties
- Coordinate and oversee home improvement projects, remodels, and construction — sourcing contractors, obtaining bids, managing timelines, and providing photo/video updates for approval
- Manage property staff including task assignment, performance monitoring, and accountability
- Vet and review monthly bills, membership dues, and community assessments for accuracy
- Set up and maintain task management, project tracking, and calendar systems for the principal and family
- Coordinate travel logistics — ground transportation, property preparation, communication with local property managers
- Handle purchasing and price comparisons for household and property needs
- Provide weekly briefings covering all active projects, pending decisions, and status updates
- Manage insurance reviews, vehicle registrations, and recurring administrative tasks across all properties
- Coordinate with the family assistant on household tasks and scheduling as needed
- Protect the principal's focus time by screening and managing incoming requests appropriately
Requirements
- 10+ years of experience as an Executive Assistant, Personal Assistant, or Estate/Property Manager for a UHNW individual or family
- Proven experience managing multiple properties and coordinating with contractors, vendors, and service providers
- Experience overseeing construction or remodel projects
- Highly organized with strong project management skills — comfortable setting up and running systems from scratch
- Proactive and self-directed — you identify what needs to be done and do it without waiting to be asked
- Exceptional communication skills — comfortable being the point of contact for all parties and holding people accountable
- High integrity and discretion — this is a deeply trusted role with access to personal and financial information
- Comfortable with technology — password managers, project management tools, shared calendars, and communication platforms
- Flexible schedule — willingness to adapt your schedule around the family's needs, including occasional travel (1-2 months per year)
- Must be based in or willing to relocate to the Nashville/Brentwood, Tennessee area
Preferred Qualifications
- Experience managing rural/agricultural property operations
- Familiarity with estate planning coordination, insurance management, and financial administration
- Background in construction management or general contracting
- Experience with AI tools and technology that improve personal productivity
Compensation
Competitive salary starting at $100,000, with room to grow based on experience and fit. This is a full-time, salaried position with the opportunity to grow into a long-term career role within a family office structure.
