Executive Assistant – Office & Executive Support

South Beach, Miami, FL

Onsite 5x/week, 8am - 5pm


A leading, highly regarded investment management firm is seeking an exceptional Executive Assistant to join its Miami headquarters. This is a unique opportunity to take ownership of both day-to-day office operations and high-level executive support within a fast-paced, high-performance environment.


This role is ideal for a detail-oriented, hands-on professional who takes pride in precision, accountability, and follow-through. The position blends operational office management with sophisticated executive support, requiring sound judgment, discretion, and the ability to anticipate needs before they arise.


Key Responsibilities:

Office & Facilities Ownership

  • Ensure the office is fully prepared each morning and maintained at an impeccable standard throughout the day
  • Oversee conference room readiness, shared spaces, pantry inventory, and overall presentation
  • Serve as the first point of contact for visitors, delivering a seamless, professional experience
  • Coordinate with building management, vendors, and service providers
  • Manage the main office line and general office administration
  • Proactively identify and resolve issues to maintain a polished environment

Executive Support

  • Manage complex, high-volume calendars with accuracy and foresight
  • Coordinate detailed travel arrangements and itineraries
  • Draft and manage professional communications and materials
  • Support sensitive Human Capital and Legal-related initiatives, including recruiting coordination and firm events
  • Provide backup support to other senior administrative team members as needed


Qualifications:

  • Bachelor’s degree preferred
  • 1+ years of experience in an administrative capacity
  • Prior experience in financial services, legal, consulting, or similarly rigorous industries strongly preferred
  • Exceptional organizational skills and meticulous attention to detail
  • Strong written and verbal communication skills
  • Demonstrated discretion in handling confidential information
  • Proficiency in Microsoft Office Suite
  • Professional presence, strong judgment, and a no-task-too-small mindset


This role is fully onsite in Miami and requires a proactive, high-accountability individual who thrives in an environment where excellence and ownership are the standard.
