A leading Global Law firm is seeking an experienced Legal Executive Assistant to provide high-level support to Litigation Partners and Attorneys in a fast-paced, client-focused environment.


This opportunity is ideal for a proactive, detail-oriented professional with experience supporting Litigation teams, managing complex workflows, and delivering exceptional client service. The successful candidate will be confident working independently, handling sensitive information, and balancing multiple priorities in a deadline-driven setting.


Key Responsibilities

  • Manage complex attorney calendars, including multi-time-zone scheduling and meeting coordination
  • Serve as a key point of contact for clients, ensuring a professional and responsive experience
  • Monitor and manage attorney inboxes and communications, helping to streamline day-to-day operations
  • Open new matters, prepare engagement documentation, and coordinate conflict check processes
  • Enter, edit, and finalize attorney time entries and expense reports
  • Manage monthly billing processes, including e-billing, proforma review, budget tracking, and client inquiries
  • Prepare, format, proofread, and process legal and business documents to a high standard
  • Maintain accurate client and matter records and coordinate document filing and retrieval
  • File documents with state and federal courts using electronic filing systems
  • Assist with audit letter responses and regulatory reporting requirements
  • Coordinate travel arrangements, meetings, video conferences, and related logistics
  • Provide additional administrative support across the team as required
  • Maintain strict confidentiality of client and business information

Qualifications

  • Experience supporting attorneys or senior professionals preferred
  • Previous experience of Litigation strongly preferred
  • Strong understanding of legal terminology, procedures, and documentation
  • Experience with billing and electronic billing systems is essential
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Excellent organizational, communication, and time-management skills
  • Ability to manage competing priorities, work independently, and meet tight deadlines
  • Associate's or Bachelor's degree preferred
  • Microsoft Office Specialist (MOS) certification is advantageous
