Executive Assistant (with light PA duties) – Confidential Client
Location: West Palm Beach
Compensation : DOE; all-in package up to $150K + benefits.
Schedule: primarily on-site (approximately four days per week, typically 9:00 AM–3:00 PM)
This is a new opportunity for an experienced Executive Assistant to provide comprehensive support to the Co-Founder and Managing Partner of a dynamic investment environment, while also collaborating closely with the Chief of Staff and broader team. The role is primarily focused on high-level executive and administrative coordination, with occasional personal support as needed. The ideal candidate will be reliable, proactive, polished, and serve as a key on-site presence.
Key Responsibilities
- Provide direct administrative support to the Co-Founder and Managing Partner, including complex calendar management, scheduling, meeting coordination, and correspondence.
- Partner closely with the Chief of Staff on the planning and execution of semiannual investor events and the Annual General Meeting.
- Serve as a central office resource, ensuring smooth day-to-day operations and acting as a point of contact when the Chief of Staff is traveling.
- Manage office operations, including vendor coordination, ordering supplies, maintaining refreshments, and arranging lunches or catering.
- Prepare and process expense reports and reimbursements using Concur.
- Draft and format presentations, reports, and correspondence with strong attention to detail.
- Provide additional administrative support to a junior Partner and other executives as the role evolves.
- Offer occasional personal assistance, such as running errands or assisting with rare school pickups when scheduling demands arise, working alongside an existing full-time PA and nanny.
Qualifications
- Bachelor’s degree preferred.
- Minimum of 3 years of administrative experience, ideally within finance, investment, or corporate environments.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort adapting to new systems.
- Experience with Concur required; familiarity with QuickBooks is a plus.
- Exceptional organizational, communication, and interpersonal skills.
- High level of professionalism, discretion, flexibility, and ability to manage multiple priorities.
- Comfortable in a role that blends predominantly executive support with occasional personal assistance.
