Executive Assistant


Job Purpose:

Position provides managerial and administrative support to the Chancellor and affiliated clergy/religious in the various responsibilities of the Office of the Chancellor.


Reports to: Chancellor


Responsibilities & Duties:

  • Assist the Chancellor in all matters related to the Office of the Chancellor.
  • Ongoing liaison with all Departments and Divisions on behalf of the Chancellor.
  • Manage and monitor all scheduling associated with the ongoing operation of the Office of the Chancellor, as necessary.
  • In the absence of another member of the Chancery team, assume the responsibilities of that person, which may require immediate attention.
  • Respond to internal and external inquiries (telephones, e-mail etc.) in a diplomatic and professional manner, processing them as needed, and interfacing with the Office of the CFO, senior staff members, and Human Resources, as appropriate.
  • Manage and prepare department reports, correspondence and projects.
  • Maintain and update office files for the Chancellor.
  • Manage all aspects of the daily operations.
  • Compile ad-hoc reports, as assigned.
  • Oversee other special projects and duties, as needed.


Education, Experience, & Skills:

  • Bachelor’s degree required.
  • 5+ years of proven senior administrative or secretarial experience supporting senior managers in highly professional corporate or large not-for-profit setting.
  • Deep knowledge, understanding, and respect for the teachings, values, mission, and organizational structure of the Catholic Church.
  • Strong proficiency in Microsoft Office Suite, especially in Outlook, Word, Excel, and PowerPoint.
  • Bilingual English/Spanish is highly preferred.
  • Excellent oral and written communication skills.
  • Cordial, professional and team oriented.
  • Proven ability to meet project and task deadlines with minimal supervision.
