About the Role
Bloom is looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our President in a fast-paced, high-growth environment. This role is a critical partner to executive leadership, helping to drive efficiency, organization, and alignment across the business.
You will serve as a central point of coordination across internal teams, external partners, and leadership, ensuring priorities are executed seamlessly. This role goes beyond traditional administrative support, it requires strong business judgment, adaptability, and the ability to anticipate needs before they arise.
The ideal candidate thrives in a dynamic, entrepreneurial environment, is comfortable wearing multiple hats, and brings both operational excellence and a collaborative, positive attitude to the team.
Responsibilities
Executive Support & Coordination
- Manage and maintain the President’s calendar, including scheduling meetings, prioritizing time, and adapting to changes in real time
- Coordinate internal and external meetings, appointments, and executive communications
- Prepare agendas, decks, and meeting materials; capture notes and track follow-ups and action items
- Handle correspondence, emails, and communication with professionalism and discretion
- Draft, proofread, and organize documents, presentations, and reports
- Anticipate executive needs and proactively manage priorities to optimize time and efficiency
- Process expense reports, manage vendor communications, and assist with budget tracking
- Maintain highly organized digital files, documents, and shared drives
- Support preparation of materials for leadership, board, and executive-level meetings
- Partner closely with the CEO and ELT Executive Assistants across to ensure alignment and communication across leadership
- Manage procurement of supplies, gifts, and other business or personal needs
- Assist with project management, reminders, and maintaining ongoing task lists
- Coordinate complex travel arrangements including flights, hotels, transportation, and detailed itineraries
- Be available to troubleshoot travel-related issues as needed
- Support occasional travel (as needed) to assist with executive priorities and events
Culture & Team Support
- Assist in planning team meetings, offsites, and internal events
- Help foster a positive, organized, and collaborative team environment
- Maintain strict confidentiality and discretion across all executive and company matters
Who You Are
- Highly organized with exceptional attention to detail and follow-through
- A proactive self-starter who anticipates needs and solves problems before they arise
- Strong communicator with the ability to work across teams and leadership levels
- Comfortable in a fast-paced, high-growth environment with shifting priorities
- Able to balance administrative excellence with strategic thinking and creativity
- Tech-savvy with strong proficiency in Google Suite, Slack, and project management tools (Asana, Airtable, Notion)
- Positive, adaptable, and solutions-oriented mindset

Experience
- 3–5+ years of experience in executive support, operations, or similar role (CPG, startup, or lifestyle brand experience preferred)
- Experience supporting senior executives and managing complex schedules and priorities
- Proven ability to handle confidential information with discretion
- Bachelor’s degree or equivalent experience
