Role Description This is a full-time, on-site Executive Assistant/Office Manager role based in Ocean City, MD. The person in this position will manage the daily operations of the office, including answering phones, greeting visitors, handling mail, ordering supplies, and maintaining a clean and organized workspace. They will provide executive-level administrative support such as managing calendars, scheduling meetings, coordinating travel, preparing documents and presentations, and organizing files (digital and physical). The role includes preparing and tracking expense reports, assisting with invoices, and supporting basic office budgeting processes. The Executive Assistant/Office Manager will also support communication with clients, vendors, and internal team members, help coordinate meetings and events, and ensure that office systems and procedures run efficiently.


Qualifications

  • Strong executive administrative assistance skills, including calendar management, meeting coordination, and document preparation.
  • Experience preparing, reviewing, and reconciling expense reports and basic familiarity with office budgeting or accounting tools.
  • Proven executive support capabilities, such as handling confidential information, prioritizing tasks, and anticipating leadership needs.
  • Excellent verbal and written communication skills, with a professional and courteous approach to clients, vendors, and colleagues.
  • Solid administrative assistance experience, including filing, data entry, office supply management, and general front-desk support.
  • High level of organization, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with common office software (e.g., Microsoft Office or Google Workspace) and comfort learning new systems or real estate platforms.
  • Previous experience in real estate, property management, or a professional services office environment is preferred but not required.
  • Ability to work on-site in Ocean City, MD, maintain reliable attendance, and collaborate effectively with a small team.
