Executive Assistant to the COO

Location: New York, NY (5 days onsite)

Schedule: Monday–Friday, 9:00 AM – 5:00 PM

Compensation: $65,000 – $75,000 (Exempt)


Overview

A fast-paced, high-growth organization is seeking a highly proactive and resourceful Executive Assistant to support the Chief Operating Officer (COO). This role is ideal for someone who thrives in a dynamic environment, can pivot quickly, and takes initiative with minimal direction.

The Executive Assistant will serve as a trusted partner, balancing executive, operational, administrative, and personal responsibilities. The position requires strong judgment, discretion, and the ability to anticipate needs in a constantly evolving environment.


Key Responsibilities

Executive & Administrative Support

  • Manage and optimize the COO’s complex and frequently changing calendar
  • Coordinate domestic and international travel arrangements, including full itineraries
  • Prepare and manage internal and external communications on behalf of the COO
  • Track and submit expenses and support reporting processes
  • Ensure seamless day-to-day administrative operations

Operational & Project Support

  • Execute and support a variety of high-impact, ad hoc projects across departments
  • Partner with cross-functional teams including Operations, Sales, HR, and Finance
  • Assist in developing timelines, tracking deliverables, and driving project completion
  • Take initiative in ambiguous situations with little direction
  • Act as a liaison to senior leadership and other departments to ensure priorities move forward

Personal Assistant Support

  • Manage personal scheduling and logistics for the COO
  • Handle administrative processes such as documentation, renewals, and scheduling of services
  • Manage confidential personal matters with professionalism and discretion


Qualifications

  • 2–4 years of experience supporting senior executives in a fast-paced environment
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and adapt to shifting deadlines
  • Excellent written and verbal communication skills
  • High level of discretion, professionalism, and confidentiality
  • Comfortable working independently with minimal oversight
