The Executive Assistant will report directly to the Texas Project Executive. This role will interact with a variety of staff at all levels and uphold a high level of professionalism and confidentiality. This position is located out of our office in Alvarado, Texas.

Thalle, established in 1947, is a heavy civil construction company with a corporate office in Hillsborough, NC and a regional office in Alvarado, Texas. Thalle has construction projects throughout the South East, Texas, and New Jersey with growth nationwide. Regional Office Location: Alvarado, Texas

Job Title: Executive Assistant

Salary: Competitive compensation package based on experience.

Duties and Responsibilities:

The Executive Assistant’s primary responsibility is to support Project Executive, and secondary responsibility is to provide office management support to the regional office. Executive-level administrative duties entail calendar management, meeting preparation, special projects, financial report generation, data entry, and other related items. Office management responsibilities include new hire documentation, general HR understanding, Staples supply management and orders, general correspondence, and other associated activities.

  • Manage the Project Executive's daily calendar, including scheduling meetings confirming appointments in Microsoft Outlook while prioritizing meetings via Microsoft Teams or in-person.
  • Professionally interface with internal and external senior executives, staff, potential clients, consultants, contractors, lawyers, and community service representatives.
  • Office Manager duties include general and advanced administrative processes and coordination of human resources, including new hires, I9, and termination processes.
  • Research, prioritize, and follow up on issues and concerns addressed to the Project Executive, including sensitive or confidential ones.
  • Expense report management, including reviewing and signing expense reports on behalf of the Project Executive.
  • Responsible for travel coordination, including flights, hotels, and rental vehicles.
  • Generate and consolidate financial reports in ViewPoint for the Project Executive.
  • Ability to research historical emails or correspondence for the Project Executive.
  • Oversees corporate recruiting efforts and staff.

Education and/or Work Experience Requirements:

  • Bachelor’s degree or equivalent experience (5+ years) preferred.
  • 2-3 years’ experience supporting senior-level executives.
  • Strong proficiency in Microsoft Office Suite; Word, Excel, and PowerPoint.
  • Construction experience is a plus!
  • Human resource experience is a plus.
  • Ability to multi-task and work well under pressure.
  • Written, verbal, and interpersonal communication skills.
  • Ability to build strong relationships with teammates.
  • This position requires strict confidentiality of corporate, personal, and legal information.

Physical Requirements:

  • Ability to perform the essential job functions consistent, safely and successfully with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • Must be able to lift and carry up to 50 lbs.
