The Executive Business Administrator will provide high-level administrative support to the General Manager. This role requires a proactive, detail-oriented individual with exceptional organizational skills and the ability to manage multiple priorities. The ideal candidate will be a strong communicator, capable of handling confidential information with discretion and professionalism.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the General Manager, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication: Serve as the primary point of contact between the General Manager and internal/external stakeholders. Draft, review, and manage correspondence and communications.
- Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Ensure follow-up on action items.
- Project Management: Assist in the planning and execution of special projects and initiatives. Track progress and ensure timely completion.
- Data Management: Maintain and organize important documents, records, and reports. Ensure data accuracy and confidentiality.
- Event Planning: Coordinate and manage events, conferences, and team-building activities.
- Budget Management: Assist in budget preparation and expense tracking. Ensure compliance with financial policies and procedures.
- Office Management: Oversee office operations, including supply management and facility maintenance.
- Problem Solving: Address and resolve administrative issues and challenges as they arise.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Experience: Minimum of 5 years of experience in an executive administrative role, preferably within a large organization.
- **Must have previous Microsoft experience**
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to handle sensitive information with discretion.
- Proactive and able to work independently with minimal supervision.
- Strong interpersonal skills and the ability to work effectively with diverse teams.
Preferred Qualifications:
- Experience in customer service or a related field.
- Familiarity with Microsoft products and services.
- Project management certification or experience.
COMPENSATION AND BENEFITS
Hourly contract rate range of $40.00 to $55.00 based on experience and qualifications, as well as geographical market and business considerations.
