Work Hours:

Monday – Thursday: 7:30 AM to 4:30 PM Friday: 7:00 AM – 11:30AM

Hours vary and are dependent on business needs


Position Overview:

This is a hands-on, full-time position with day-to-day duties that include efficiently managing the owner's schedule and travel, and handling the owner’s emails by filtering, prioritizing, and redistributing important correspondence, while eliminating non-essential communications. The position also assists the owners by balancing their personal and professional schedule and financial management, maintaining financial records with discretion, and organizing leadership meetings.



Key Responsibilities:

Schedule and Travel Management

Ensure the owner’s schedule is consistently up-to-date and communicate any changes promptly to relevant stakeholders.

Plan and coordinate travel arrangements and agendas for the owner efficiently.


Communication and Correspondence

Prioritize emails for ownership, determining which require their attention and which do not. Appropriately redistribute important business-related emails and standard mail to the relevant leadership team members.

Effectively manage and eliminate non-pertinent and junk emails/mail through professional declination or deletion.


Task Prioritization and Coordination

Proactively assist ownership in balancing personal and professional schedules, prioritizing tasks based on their needs.

Identify intersections between ownership’s personal and professional tasks and make necessary adjustments to fulfill commitments.

Systematize personal and professional record keeping and provide follow-up when necessary.


Financial and Meeting Management

Maintain accurate financial records for ownership as required, ensuring excellent discretion regarding personal and financial details.

Schedule BFS and SD leadership meetings, including booking necessary facilities, and record and organize comprehensive notes for these meetings.


Assist with other duties as assigned.



Qualifications:

  • High school diploma required.
  • Bachelor’s degree in business administration or related field preferred.
  • 4 + years of Executive Administrative or related experience required.
  • Advanced ability to identify and address areas of need without being prompted.
  • Advanced ability to determine which items should remain confidential and which can be shared beyond ownership.
  • Intermediate ability to create systems that effectively support scheduling and communication needs for ownership.
  • Advanced ability to effectively communicate in written and verbal format with customers, employees, vendors, and personal contacts.
  • Advanced ability to effectively accommodate both long-term strategies and necessary adaptations.
  • Intermediate ability to identify and resolve conflicts between business and personal commitments.
  • Advanced ability to listen attentively to ownership needs and adapt behaviors to meet those needs.
  • Advanced ability to plan and ensure that ownership's personal and professional gatherings are executed with excellence.
  • Advanced ability to systematize personal and professional record-keeping and provides necessary follow-up.
