Responsibilities

  • Provide backup support for calendar management and scheduling needs for leaders in the Transportation division.
  • Assist with logistics and planning for leadership meetings and manage event coordination.
  • Coordinate travel arrangements and create detailed itineraries.
  • Complete and file expense reports efficiently.
  • Track and help drive the completion of deliverables, following up on open action items.
  • Undertake special projects as assigned.

Essential Skills

  • High school diploma or equivalent.
  • At least 1 year of experience with computers and Microsoft Office products.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to prioritize and handle multiple assignments simultaneously.
  • High level of integrity and discretion.
  • Ability to work effectively with minimal supervision.
  • Superior attention to detail and ability to meet tight deadlines.
  • Capacity to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations requiring quick turnaround.

Additional Skills & Qualifications

  • Bachelor's degree or equivalent preferred.
  • Experience with end-to-end project management.
  • Experience with domestic or international travel coordination.
  • Demonstrated ability to design and improve processes.
  • 1 year of experience with Executive Level Calendar Management.
  • 1 year of experience in planning, organizing, and supporting large meetings and events.

Work Environment

The role is fully onsite in Bellevue, offering a flexible work environment with no strict start or end times, but within business hours. You will work closely with the Hiring Manager as needed and participate in biweekly Executive Assistant team meetings and quarterly syncs. The position requires flexibility to move between different leaders who need support, especially when someone is out due to leave or illness. The dynamic space provides ample learning opportunities and a strong focus on internal promotion.

This is a Contract position based out of Bellevue, WA.

Pay and Benefits

The pay range for this position is $29.00 - $30.00/hr.
