We are actively recruiting an Executive Assistant to the COO/CCO of our firm. The person who earns this position will demonstrate: 

  • ability to build and maintain strong professional relationships while upholding the highest levels of integrity, discretion and sound judgement
  • a proven track record of taking initiative and proactively anticipating needs in a fast-paced environment
  • a strong desire to provide enthusiastic team support 
  • the ability to proactively engage in the details and be very organized 

 

Experience/Education 

  • 1-2 years’ experience in the financial industry
  • 2-5 years in an Executive Assistant or comparable support role
  • HS Diploma 
  • Bachelor’s degree in business or related field (preferred, but not required) 

 

Competencies 

·        Office software systems, such as the MS Office Suite 

·        Industry Licensing experience (preferred, but not required)

·        HR experience (preferred, but not required)

·        Professional written and oral communication skills 

·        Event planning (preferred, but not required)

Areas of Responsibility 

  • Manages logistics for the COO/CCO to include, but not limited to, calendars, meetings, time management, and “gate keeping”  
  • Assists with compliance tasks to ensure all required documentation is current and in order 
  • Assists with licensing and credentials to include all licenses and continuing education as required
  • HR support to include tasks, updating employee data/information, and onboarding/offboarding
  • Assists with accounting tasks as necessary
  • Prepares reports for COO/CCO as necessary
  • Acts as a liaison between firm and its IT consultants
  • Actively participates in periodic internal and external events  
  • Assists and collaborates with team as necessary
  • Participates in the development, documentation, and implementation of Departmental Policies and Procedures 

 

 

 

 

Compensation/Schedule 

·        Hourly  

·        $$60k - 70k Annual  

·        Annual Performance Bonus 

·        Full-time: 8-4:30 M-F 

·        Periodic evening and weekend client events
