OverviewCastle Island Brewing Co. is looking for a highly organized, proactive Part-Time Events & Pop-Up Coordinator to support our off-site tastings, festivals, and pop-up beer gardens. This role sits at the intersection of operations, sales, and marketingowning the behind-the-scenes execution that brings our brand to life in the field.This is a detail-heavy, logistics-driven role that requires strong communication, ownership, and the ability to juggle multiple moving pieces at once.This position reports to the Head of Sales & Marketing. This position is based at our Norwood, MA headquarters and requires 10-20 hours per week, with semi-frequent responsibilities on nights and weekends.What Youll DoEvents & TastingsHire, train, and schedule staff for off-site tastings (accounts, festivals, large events)Maintain employee certifications (TIPS compliance)Serve as on-call support during events to troubleshoot issuesCoordinate with the Sales Team to schedule tastingsSubmit festival applications and registration formsManage Certificates of Insurance (COIs)Maintain a centralized tasting calendar and event logEvent Preparation & LogisticsCommunicate event details to staff (product, supplies, expectations)Coordinate product and supply pick-up/drop-offStage materials in a designated area for team accessEnsure all equipment (e.g., jockey boxes) is cleaned and readyMaintain cleanliness and inventory of reusable materials (e.g., tablecloths)Pop-Up Beer Gardens & One-Day EventsStaffing & SupportRecruit, train, and schedule staff for pop-up eventsEnsure all staff certifications are currentAct as remote support during events as neededSite Booking & ComplianceSource and secure new pop-up locations and opportunitiesManage inbound event requestsServe as primary contact with municipalities and local authoritiesHandle One-Day License applications and permittingPull COIs and attend town/board meetings when requiredConduct site visits as neededEvent OperationsCoordinate supply ordering (cups, wristbands, NA beverages, etc.)Oversee transport of equipment and product to/from sitesSet up and manage POS systems; train staff as neededHandle cash logistics, including drawers and reconciliationExecute and oversee event setup and breakdown to ensure brand standards are metInventory ManagementTrack product going out to and returning from eventsMaintain accurate inventory logsStage and organize supplies for efficient deploymentSales & Marketing SupportCoordinate prize packs for events, donations, and internal needsManage merchandise allocation for festivals and large-scale eventsCollaborate with marketing to support event promotion and content creationIdentify and pitch incremental revenue opportunities (e.g., merch, NA options, cider, wine)Coordinate cross-functional needs with internal teamsWhat Were Looking ForStrong organizational and project management skillsAbility to manage multiple events and timelines simultaneouslyClear communicator with a proactive mindsetComfortable working independently and making decisionsExperience with events, hospitality, or logistics preferredFamiliarity with POS systems and inventory tracking is a plusMust be available for occasional nights/weekends (event-dependent)Why This Role MattersThis role is critical to how Castle Island shows up outside our walls.
