Minimum Qualifications of Education and Experience:
- High School diploma/GED
- Four (4) years of event planning, event services management, or event sales and operations experience
- Two (2) years of experience working in the food/beverage industry
- Must possess a valid driver's license and be able to drive in the state of Minnesota.

- Any satisfactory equivalent combination of education, training, and experience that demonstrates the knowledge, skills, and abilities to perform the duties of the job proficiently may be substituted for the above requirements.
Nature of Work:
Under the direct supervision of the Civic Center Co-Director, the Events Coordinator (Food & Beverage)oversees and coordinates the day-to-day business functions of the Civic Center as it relates to concession stands, bars, and premium seating in the facility. Manages and assists with all civic center events as necessary. Daily work is based on organizational values.

Primary Essential Work Functions:
- Schedules, hires, trains, and supervises product distribution staff, hourly bartenders, and premium seating servers; provides coordination and oversight to additional event labor as needed.
- Oversees procurement, contract execution, and ongoing relationships with concession vendors and food trucks; manages food and beverage ordering and inventory to ensure appropriate stock levels and quality standards.
- Ensures all food and beverage vendors meet required licensing, certifications, and food safety regulations; monitors compliance to maintain safe operations and uphold facility standards for quality and customer service.
- Coordinates events by meeting with clients to determine needs, assisting with budgets, bar setup, and logistics; manages communications, books events, schedules personnel, and conducts post-event follow-up.
- Assists the Co-Director with the sale and facilitation of sponsorships within the food and beverage category.
- Oversees events in progress, resolves operational and procedural issues, communicates changes to event requirements, documents damages, and ensures facilities are vacated as scheduled.
- Oversees concession stands, food trucks, and bar operations across all Civic Center facilities; establishes portable sales locations based on event needs.
- Coordinates backstage fulfillment of artist riders related to food and beverage; partners with catering and operations teams to ensure all requirements are met.
- Maintains knowledge of alcohol-related policies, procedures, and liabilities; trains and monitors staff to ensure compliance with responsible service standards.
- Manages point-of-sale (POS) operations, including inventory tracking, cash handling, receipts and deposits, and daily reporting; inputs data into event and accounting systems and analyzes post-event profit and loss.
- Ensures operational readiness by confirming all locations are properly stocked, clean, organized, and compliant with sanitation, storage, and product rotation standards; investigates and resolves any overages or shortages.
- Develops labor projections and tracks actual usage per event; schedules staffing based on historical data and anticipated demand.
- Coordinates event activities and ensures compliance with City policies, fire regulations, and security procedures.
- Maintains digital menu signage and ensures all food and beverage locations present an appealing and professional appearance.
Communicates With:
- Internally – Event Center Staff, contracted staff, other City staff/departments
- Externally – Clients, event attendees and facility partners
Supervision:
- Supervises approximately 40 part-time and event staff
Other Work Functions:
- Performs physical and mental demands and work environment requirements for this position.
- Attendance during regularly scheduled work hours and outside regular hours as necessary.
- Effective and respectful communication and interactions with other employees, supervisors, individuals from other organizations, and community customers.

Conditions of Employment:

This position will work abbreviated normal office hours, plus night, holiday, and weekend hours. This position is responsible for event preparation, presentation, and move out periods. Continuous hours of work may be varied and long as events and productions determine working hours.
