Epic Credentialed Trainer and Coordinator in Information Technology

We are looking for a Credentialed Trainer & Coordinator for our Epic Training Team. This employee is responsible for conducting training for clinical and non-clinical end users in the Epic EHR. They will leadtraining sessions in the classroom (currently virtually) and in direct clinical practice. Will assign applications and is responsible for achieving an in-depth understanding of each application's software, workflows, and procedures. The bulk of users requiring Epic training will use Cadence, Clinical Professional Billing, Health Information Management, Cogito, Grand Central, and Single Billing Office. A strong knowledge of Cadence is preferred.

In addition to training responsibilities, this employee will help manage training requests, address access issues, answer training questions, and support our SailPoint system, which tracks training progress for users. You may also be called on to help facilitate classes on applications outside of Epic, such as ServiceNow. Administration will also include monitoring incoming issues through a group email for the training team.Applicants should have two or three years of training experience, and we prefer formal training in Cadence or other common Epic clinical modules.

This is a full-time, salaried, exempt position. You will be eligible for all UTHealth benefits, including healthcare coverage and participation in a pension plan run by the State of Texas. You will work out of an office in the heart of the Texas Medical Center, housed in our University Professional Building. Hybrid models of onsite and remote work are currently in place, but preference will be given to applicants who are close enough to come in person when needed. Currently, this role is remote, but it could change with new implementations or business needs.

Position Summary:

Responsible for conducting training for clinical and non-clinical end users in the Epic EHR. Leads training sessions in the classroom as well as in direct practice. Will assign applications and is responsible for achieving an in-depth understanding of each application's software, workflows, and procedures.

Position Key Accountabilities:

  • Obtains and maintains expertise in the support and optimization of assigned Epic module(s).
  • Maintains current understanding of system changes and enhancements to ensure a thorough knowledge of the clinical information systems as related to end-user usage.
  • Assesses the effectiveness of the curriculum to identify and contribute to quality improvements and provides feedback to Principal Trainer(s) to ensure proper build and maintenance of the technical training environments.
  • Responds appropriately to desired and undesired behaviors in class; keeping department managers informed as deemed appropriate.
  • Coordinates plans with colleagues and peer trainers to avoid duplication and to maximize value of resources.
  • Analyzes data from feedback and participant evaluations for quality improvement monitoring and reporting, as evidenced by: Analyzing core curricula to ensure effectiveness and currency to best meet the needs of specialized application area(s). Evaluating program content and instruction, including effectiveness and appropriateness of both the educational process and its outcome. Developing and administering tools to measure participant learning against program behavioral objectives; evaluating learning areas. Requesting and utilizing feedback from leadership and educational personnel to evaluate transfer of learning and participant reaction to programs.
  • Consults, presents to, and collaborates with project management, application specialists, department leadership, super users, and representatives, to ensure information is current, standardized, and in alignment with end users' needs and organizational initiatives.
  • Works with analysts and credentialed trainers to create a testing process during upgrades.
  • Maintains accurate and timely training registration and completion data in the Learning Management System.
  • Ensures the readiness of training rooms, computer workstations, devices, and materials in preparation for classes; collaborates with administrative support staff to ensure accurate attendance and reporting from classes.
  • Escalates situations to area leadership with details that contribute to the efficient operation of the EHR.
  • Performs other duties as assigned.


Minimum Education:

Associate's Degree in Computer Science, Business, or a related field required. May substitute required education with equivalent years of experience beyond the minimum experience requirement.

Minimum Experience:

2 years of experience in a health care-related field are required. Presentation and facilitation experience with large and small groups required. Large-scale health care systems planning and implementation experience on application software products preferred

Physical Requirements:

Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or up to 10 pounds constantly to move objects.
