Position Summary: The Dispatcher coordinates the daily movement, scheduling, and

assignment of vehicles, drivers, and field resources to support operational needs. This position

serves as the central communication link between drivers, yard operations, mechanics, and

management to ensure efficient, safe, and timely execution of work assignments. The

Dispatcher is an operational coordination role and does not have supervisory authority unless

specifically assigned.

Key Responsibilities:

• Schedule and dispatch vehicles, drivers, and equipment based on operational priorities.

• Monitor active assignments and adjust schedules as conditions change.

• Communicate job details, routing information, and updates to drivers and field personnel.

• Track vehicle and equipment status, availability, and location.

• Coordinate with Yard Operations and Mechanics regarding equipment readiness,

maintenance needs, and downtime.

• Maintain dispatch logs, schedules, and operational records.

• Receive and relay service requests, job updates, and completion confirmations.

• Support compliance with hours-of-service, safety policies, and company procedures.

• Escalate operational issues or conflicts to the Lead Dispatcher or Office Manager as

needed.

• Maintain professional, clear, and timely communication with internal staff and external

partners.

• Serve as the first point of contact for customer inquiries via phone systems, email, and

other communication channels.

• Manage dispatching tasks to ensure timely delivery of services and supporting

driver/technician efforts.

• Utilize various transportation software to track service and delivery routes.

• Perform data entry tasks accurately to maintain up-to-date customer records and billing.

• Collaborate with other departments to coordinate planning and fleet management

activities.

• Communicate effectively with customers regarding order status, details, and any potential

delays.

• Maintain a professional demeanor while interacting with customers.

• Enter all loads into dispatch software.

• Answer all customer emails and inquiries.

• Dispatch all loads to appropriate drivers.

• Resolve all issues for customers and drivers in a timely manner.

• Scan all work orders and documents into dispatch software.

• Record and maintain files or records of customer requests, work or services performed,

charges, expenses, inventory, or other dispatch information.

• Receive or prepare work orders.

• Determine types or amounts of equipment, vehicles, materials, or personnel required,

according to work orders or specifications.

• Advise personnel about traffic problems such as construction areas, accidents,

congestion, weather conditions, or other hazards.

• Arrange for necessary repairs to restore service and schedules.

Work Conditions:

• Primarily office- or dispatch-center–based environment.

• Frequent phone, radio, and computer use.

• Work may involve extended hours or schedule adjustments based on operational demand.

Qualifications: Required:

• High school diploma or GED.

• Experience in dispatching, logistics coordination, trucking, construction, or field

operations support.

• Strong organizational and multitasking skills.

• Ability to communicate clearly and professionally by phone, radio, and written

messaging.

• Basic computer proficiency and ability to learn dispatch or tracking systems.

• Ability to remain calm and effective in fast-paced or changing situations.

• Proven experience in customer service or a related field.

• Experience in fleet dispatch within logistics or transportation.

• Strong data entry skills with attention to detail.

• Excellent communication skills, both verbal and written, with the ability to interact

professionally with customers and leadership.

• Ability to work in a fast-paced environment while managing multiple tasks effectively.

• A proactive approach to problem-solving with strong organizational skills while being

able to quickly adapt to change.

Preferred:

• Experience dispatching CDL drivers or heavy equipment.

• Familiarity with DOT regulations, hours-of-service, or fleet operations.

• Knowledge of routing, job scheduling, or logistics software.

• Experience coordinating yard, fleet, or field-based operations.

Work Environment: This position operates in a professional dispatch or office setting with

frequent interaction with drivers, yard staff, mechanics, and management. Success in this role

requires strong communication skills, situational awareness, attention to detail, and the ability to

manage multiple priorities simultaneously.
