The Los Angeles County Employees Retirement Association (LACERA)administers and manages the $91 billion retirement fund for the County of Los Angeles. ABOUT THE POSITION

Positions allocable to this classification, under the supervision of a Supervising Administrative Assistant II, LACERA, are assigned to LACERA’s Document Processing Center. This is the full supervisory-level classification in the Document Processing series that exercises independent judgment on diverse and specialized document processing, scanning, and indexing functions with accountability and ongoing decision-making responsibilities associated with the work.

Document Processing Supervisors plan, delegate, oversee, organize, prioritize, supervise, train, and evaluate the work of staff engaged in the processing, scanning, indexing, and mailing of member documents and business records to ensure accuracy, timeliness, and quality of all documents received. Work requires a thorough knowledge of document management systems, document capture software, document entry processes, document codes, related equipment, standards, procedures, and quality control. Incumbents must exercise initiative and independent judgment within defined LACERA and Document Processing Center policies and procedures. Incumbents must have a knowledge of the principles of supervision, supervisory policies, and practices, and be proficient in prioritizing a high volume of requests to complete work within time standards.

Vacancy Information:There are two current vacancies located in the Document Processing Center, however, the resulting eligible list for this examination can be used to fill both current and future vacancies throughout the Administrative Services Division.

Work Schedule:This full-time position is required to work a 5/40 schedule (e.g. an eight (8) hour day, Monday through Friday). LACERA offers a hybrid work environment, teleworking may be considered after six months of employment upon successful completion of initial training. Upon completion of initial training, position may be eligible to telework up to two (2) days per week depending on the needs of the Document Processing Center workloads.

OPTION 1:
Three (3) years responsible experience at the level of Document Processing Specialist, LACERA.

OPTION 2:
Completion of twelve (12) semester units in business administration, public administration, or related coursework from an accredited college or university -and- two (2) years of responsible experience in researching records, processing documents, and scanning and indexing documents.

PHYSICAL CLASSII– Light: Light physical effort with light lifting to 10 pounds, some bending, stooping or squatting, and considerable walking.

DESIRABLE QUALIFICATIONS

  • Demonstrated supervisory experience including assigning and reviewing work to ensure accuracy and completion in accordance with established procedures or standards.
  • Demonstrated experience identifying and distinguishing among a wide variety of document types in a high-volume or complex environment.
  • Experience monitoring staff productivity, workload, or work quality to ensure accuracy, timeliness, and compliance with established performance expectations.
  • Demonstrated experience prioritizing competing assignments using formal tracking tools (e.g., case management systems, workflow logs, or task queues) in a high-volume environment.
  • Demonstrated experience analyzing documents, data, or case information with a high degree of accuracy.
  • Demonstrated experience accurately performingalphabetical, numerical, and alphanumeric filing or sorting within a workflow environment.
  • Experience preparing professional procedural instructions, summaries, or written correspondence.
  • Experience handling sensitive conversations providing support or guidance to staff or resolving workflow-related issues. (e.g., such as performance, workload, or conflict).
  • Demonstrated ability to communicate clearly and professionally with staff, external partners, or members of the public.
  • Proficiency using Microsoft Office Suite (Word, Excel, Outlook) for daily tasks, data entry, communication, or reporting.

EXAMINATION CONTENT: This selection process will consist of:

Part I:A qualifying evaluation of application information and the desirable qualifications.

Part II:An Appraisal (Oral) Interview weighted 100%.

The appraisal (oral) interview will assess the applicant's knowledge, experience, and general ability to perform the essential functions of the position.
