Position Title: Director of Accounting/Membership
Also Serves As: Deputy Registrar
Reports To: Executive Director, Kentucky Bar Association
Position Summary
The Director of Accounting/Membership is responsible for leading and managing all accounting and membership functions for the Kentucky Bar Association. This role ensures the integrity of financial operations, oversees membership processes, and ensures compliance with applicable regulations, while supporting the organization's strategic and operational goals.
Supervisory Responsibilities
This position has direct supervisory responsibilities and provides leadership, guidance, and oversight to assigned staff.
Key Responsibilities
Accounting Functions:
- Develop and prepare the annual KBA budget for the Board of Governors and the Supreme Court of Kentucky
- Oversee and manage investment reserves; report to the Investment Committee
- Maintain and ensure accuracy of the general ledger
- Oversee accounts payable, accounts receivable, and collections processes
- Monitor and manage organizational cash flow
- Prepare monthly and annual financial statements
- Oversee payroll processing and related reporting
- Prepare and file Kentucky sales tax returns
- Coordinate annual audit, including preparation of work papers and collaboration with independent auditors
Membership Functions:
- Oversee and maintain all membership records
- Manage membership updates, including name changes and withdrawals
- Ensure accurate entry and processing of Supreme Court Orders
- Oversee issuance of Certificates of Good Standing
- Coordinate confirmations with the U.S. District Court and the National Conference of Bar Examiners
- Manage dues billing, collection, and final notices
- Oversee out-of-state certification requests and associated fees
- Administer the annual dues process
Deputy Registrar Duties
- Serve as Deputy Registrar for the KBA
- Execute and sign Certificates of Good Standing and other official membership documents
Programs & Events
- Coordinate with the Supreme Court of Kentucky and the Office of Bar Admissions for biannual attorney swearing-in ceremonies
- Manage all related communications and logistics for these ceremonies
- Support the Annual Convention, including:
- Budget preparation and financial reporting
- Registration management and correspondence
- Oversight of registration materials and on-site operations
- Collection of revenues and payment of expenses
Human Resources & Administration
- Maintain personnel records for KBA employees
- Oversee administration of employee benefits, including health, dental, disability, retirement, and supplemental plans
- Manage organizational insurance policies
- Maintain and oversee KBA contracts
Qualifications
- Certified Public Accountant (CPA) required
- Bachelor’s degree in Accounting, Finance, or related field required; advanced degree preferred
- Significant experience in accounting, financial management, and organizational operations
- Experience overseeing membership-based systems or professional associations preferred
- Strong knowledge of financial reporting, budgeting, and compliance
- Proven leadership and supervisory experience
- Excellent organizational, analytical, and communication skills
- Ability to manage multiple priorities and work collaboratively across departments
